SUMMARY
The HR Digital Analyst is a graduate development role designed for individuals who are passionate about Human Resources and excited by the opportunities that technology, automation, artificial intelligence, and data bring to the future of work. The role supports the digital operation of the Human Resources function by improving HR processes, administering and enhancing the Group's HR technology platform, maintaining high-quality employee data, supporting AI-enabled knowledge management, and delivering an exceptional employee experience through technology. Unlike a traditional HR administration role, this position is focused on continuously improving how HR operates by simplifying processes, increasing automation, leveraging AI, and enabling employees and managers to self-serve wherever possible. The role provides structured development across Human Resources, HR technology, digital transformation, AI, people analytics, and business partnering, preparing the successful candidate for future careers in HR Business Partnering, Talent Acquisition, People Operations, or HR Digital Transformation.
Primary Duties & Responsibilities
HR Technology & Digital Operations
- Learn, administer, and continuously improve the Group's HR platform (Zoho People), maintaining employee records, organizational structures, workflows, approvals, forms, dashboards, security profiles, and reporting.
- Support system enhancements, testing, new functionality, integrations, user adoption, and continuous optimization of HR technology.
- Assist in maintaining an intuitive, efficient, and employee-friendly digital HR environment.
Process Improvement & Automation
- Review HR processes across the employee lifecycle, identify opportunities to simplify activities, eliminate manual work, improve turnaround times, and enhance the employee experience.
- Assist in implementing workflow automation, digital forms, automated approvals, notifications, reminders, document generation, and employee self-service capabilities.
- Work closely with the Digital Transformation & AI team to support HR automation initiatives and continuously improve operational efficiency.
Artificial Intelligence & Knowledge Management
- Support the adoption of AI within Human Resources by ensuring policies, procedures, templates, employment documentation, FAQs, and operational guidance are organized, standardized, and maintained in formats that can be effectively interpreted by Zia AI and future AI technologies.
- Maintain and continuously improve the HR knowledge base, ensuring information remains accurate, accessible, up to date, and easy for employees and managers to use.
- Research emerging AI tools and recommend practical ways to improve HR services, employee support, and knowledge management.
HR Analytics & Reporting
- Maintain accurate employee information and organizational data within the HR system, ensuring high standards of data integrity and governance.
- Develop dashboards, reports, and workforce analytics covering recruitment, turnover, leave, performance, organizational structure, diversity, training, and other key HR metrics.
- Analyze HR data, identify trends, prepare management reports, and support data-driven decision making across the business.
Employee Lifecycle Support
- Support the digital administration of recruitment, onboarding, probation, promotions, transfers, salary changes, leave management, performance management, employee movements, and offboarding.
- Ensure employee documentation, approvals, and system records are maintained accurately and completed within agreed service levels.
- Assist in creating a seamless and positive employee experience throughout the employment lifecycle.
Employee Experience & Self-Service
- Promote the use of employee self-service tools by improving HR system usability, simplifying processes, and supporting digital adoption across the organization.
- Develop user guides, FAQs, training materials, instructional videos, and system communications that help employees and managers effectively use HR technology.
- Provide first-line support for HR system queries and encourage digital-first solutions wherever possible.
HR Projects & Continuous Improvement
- Participate in projects relating to organizational design, employee engagement, learning and development, recognition programs, talent acquisition, AI, automation, and digital transformation.
- Research industry best practices, emerging HR technologies, and innovative approaches to people management, presenting recommendations to the HR team.
- Contribute ideas that improve HR efficiency, employee experience, operational excellence, and organizational effectiveness.
Professional Development
- Participate in structured learning and mentoring across Human Resources, developing knowledge in employee relations, talent acquisition, performance management, workforce planning, organizational development, and business partnering.
- Build commercial awareness by understanding how Human Resources contributes to organizational performance and business success.
- Demonstrate curiosity, initiative, and a commitment to continuous learning, innovation, and personal development.
TIME RECORDING AND DELIVERY
- Accurately record time and value of service when working on projects and business line linked activities or required to do so.
- Monitor own productivity and review productivity and performance against deliverables.
- Follow a disciplined approach to submitting timesheets and tracking deliverables.
- Ensure all daily and weekly deliverables are met, all deadlines are always adhered to and quality is ensured with no errors that impact the business and the Company

- Work collaboratively with the regional HR colleagues to achieve team objectives and shared outcomes.
- Participate actively in HR team meetings, knowledge sharing sessions, and collective projects.

- Support fellow HR team members during high workload periods or cross-border initiatives. Be the buddy to take on the team's responsibilities when asked to do so.
- Contribute to joint HR goals, recognizing that team performance and cooperation form an integral part of performance evaluation.
Candidate Profile
- Bachelor's Degree in Human Resources, Psychology, Business Administration, Business Analytics, Information Systems, Commerce, Organizational Behavior, or a related discipline.
- Recent graduate or up to two years of professional experience.
- Demonstrated interest in pursuing a long-term career in Human Resources.
- Strong interest in technology, artificial intelligence, automation, data analytics, and digital transformation.
- Previous internship, project work, or practical exposure to HR or HR technology would be advantageous but is not essential.
- Good understanding of Microsoft Office, particularly Excel and PowerPoint.
- Interest in HR information systems, digital workplace technologies, and workflow automation.
- Curiosity about AI, prompt engineering, knowledge management, reporting, and employee self-service technologies.
- Exposure to Zoho People, Power BI, Power Automate, SQL, or similar technologies would be advantageous but is not essential.
- Genuine passion for Human Resources and helping people succeed.
- Strong interest in technology and enthusiasm for learning new digital tools.
