Job Description

The HR Associate will support the day-to-day operations of the Human Resources function, including onboarding, employee records management, payroll and benefits administration, government compliance, and employee relations. This role is both employee- and client-facing, requiring professional interaction and support to internal team members as well as clients. The HR Associate will also assist in engagement initiatives and ensure that HR processes are delivered accurately, efficiently, and in compliance with company policies and labor regulations.

Key Responsibilities:

1. HR Operations (Execution Support)

  • Assist in day-to-day HR operations, including onboarding, employee records management, payroll support, compliance, and offboarding
  • Maintain and update employee records, including 201 files, ensuring accuracy and completeness
  • Create and update employee records in Sprout HRIS and ensure data integrity across all modules
  • Support employee movements, including promotions, transfers, salary adjustments, and status changes, ensuring proper documentation and system updates

2. Compensation and Benefits

  • Support payroll administration by preparing and validating payroll inputs, including attendance, leaves, and allowances
  • Assist in the preparation of payroll related reports, including 13th month pay
  • Respond to employee inquiries related to compensation, benefits, and payroll concerns in a timely manner
  • Administer employee benefits, including HMO, insurance, and other company provided benefits
  • Assist employees with government loan applications and related documentation
  • Ensure timely and accurate processing of government contributions (SSS, PhilHealth, Pag-IBIG, BIR)

3. Onboarding and Offboarding

  • Assist newly hired employees in completing pre-employment requirements
  • Support government registration processes (SSS, PhilHealth, Pag-IBIG, TIN)
  • Conduct or assist in new hire orientation sessions
  • Create HRIS accounts for new employees and ensure onboarding documentation is complete
  • Support offboarding processes, including preparation of clearance, Certificate of Employment, BIR Form 2316, and final pay coordination

4. Employee Relations

  • Assist in handling employee concerns and inquiries, ensuring alignment with company policies
  • Support documentation of employee relations cases, including Incident Reports (IR), Notice to Explain (NTE) and Notice of Discipline (NOD) as needed
  • Ensure proper filing and documentation of employee related records
  • Escalate concerns to the HR Specialist, Sr. HR Specialist or HR Manager when necessary

5. Employee Engagement

  • Assist in planning and execution of employee engagement activities and initiatives
  • Support pulse surveys, including distribution, tracking, and consolidation of participation
  • Assist in preparation of engagement materials, attendance tracking, and program support

6. HR Systems and Reporting

  • Maintain and update HRIS, attendance, and payroll systems
  • Ensure accuracy, confidentiality, and integrity of HR data
  • Generate basic HR reports and assist in data validation

7. Compliance and Documentation

  • Ensure compliance with DOLE reporting requirements and assist in preparation of mandatory reports
  • Support audits and ensure proper documentation of HR transactions
  • Maintain confidentiality of all employee records and HR information

8. Communication and Stakeholder Support

  • Serve as a professional point of contact for employees and clients for basic HR concerns
  • Coordinate with internal teams and stakeholders to ensure timely completion of HR processes

Qualifications:

  • Bachelor's degree in Behavioral Science, Human Resource, Psychology or Business-related course
  • Open to fresh graduates; however, at least 6 months to 1 year of HR experience is an advantage
  • Excellent communication and interpersonal skills, etc
  • Resourceful, problem-solving aptitude and thorough knowledge of HR procedures and policies
  • Highly organized with keen attention to detail
  • Strong analytical skills
  • Highly proficient in MS Office, HRIS systems, and comfortable learning new technical systems as needed
