Job Title: HR Assistant
Position Overview
We are seeking a detail-oriented
HR Assistant to provide daily administrative support focused on workforce timekeeping, attendance monitoring, and labor compliance. This role is responsible for ensuring employee time records are accurate, identifying attendance trends, monitoring overtime exposure, and maintaining reliable labor data for management. The ideal candidate is organized, analytical, and comfortable working with large amounts of data while maintaining confidentiality.
Software training will be provided, so prior experience with a specific timekeeping system is not required.
Work Schedule: Monday to Friday,
9:00 AM – 5:00 PM EST
Key Responsibilities- Audit daily employee timecards for accuracy and completeness.
- Review employee clock-in and clock-out records for:
- Early arrivals
- Late departures
- Unauthorized overtime
- Missed meal or break punches
- Identify and flag timekeeping exceptions for designated managers.
- Enter and verify staffing agency employee time records.
- Investigate and resolve timekeeping discrepancies.
- Monitor projected weekly employee hours and notify department leaders when employees are approaching overtime thresholds.
- Review missed punches daily and coordinate corrections when necessary.
- Track attendance trends, including recurring missed punches, excessive tardiness, early arrivals, or attendance exceptions.
- Prepare attendance and labor trend reports for Human Resources and operational leadership.
- Verify employee schedules against recorded time punches.
- Identify duplicate, missing, or incomplete time entries.
- Maintain the accuracy and integrity of workforce timekeeping records.
- Escalate unresolved discrepancies to the appropriate manager or HR representative.
- Perform other administrative and HR support duties as assigned.
Qualifications
- Previous administrative, HR Assistant, data entry, payroll, or timekeeping experience is preferred but not required.
- Excellent attention to detail and accuracy.
- Strong organizational and time management skills.
- Ability to identify discrepancies and follow up until resolved.
- Comfortable working with reports, spreadsheets, and workforce data.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality with employee information.
- Reliable, dependable, and able to meet daily deadlines.
- Ability to work independently while collaborating with managers and HR staff.
Requirements
- Availability to work 9:00 AM – 5:00 PM EST, Monday through Friday.
