Job Overview

We are seeking a highly experienced Senior HR & Recruitment Specialist to take full ownership of recruitment operations for an Australian client. This role requires a proactive professional with strong administrative capabilities who can manage the end-to-end hiring process while ensuring a smooth and efficient recruitment pipeline.

Working Hours (Non-Negotiable)

  • Monday to Friday: 9:00 AM – 6:00 PM AEST/AEDT
  • Saturday: Occasional, depending on hiring demand
  • This is a fixed schedule requiring full availability
  • No other employment or client commitments allowed

Key Responsibilities

Recruitment Operations

  • Manage the full recruitment lifecycle from job posting to onboarding
  • Post and manage job advertisements across job boards and social platforms
  • Screen CVs and shortlist qualified candidates
  • Conduct initial phone interviews
  • Coordinate and schedule interviews with hiring managers
  • Maintain consistent candidate follow-ups and engagement
  • Manage recruitment trackers and maintain an organized hiring pipeline
  • Ensure timely daily recruitment reporting and updates

Compliance & Onboarding

  • Collect and verify required documents (ID, resumes, references, background checks, etc.)
  • Prepare and finalize onboarding packs for successful hires
  • Ensure all documentation is complete before handover to admin/payroll

Administrative & Operational Support

  • Maintain and update CRM systems with accurate recruitment data
  • Assist with schedule coordination and rostering
  • Support timesheet preparation
  • Ensure all recruitment and admin processes are well-organized and up to date

Requirements

  • Minimum 7+ years of experience in HR and recruitment
  • Strong administrative background is essential
  • Proven experience handling end-to-end recruitment
  • Experience working with Australian clients is highly preferred
  • Excellent organizational and time management skills
  • Strong communication and stakeholder management skills
  • Experience using CRM systems and recruitment tools
  • Ability to work in a fast-paced environment with minimal supervision

  • Job ads are consistently posted and kept up to date
  • CVs are screened daily with timely candidate progression
  • Phone screenings and interviews are conducted promptly
  • Candidates are actively followed up with no drop-offs
  • Recruitment pipeline is clean, organized, and updated
  • Documentation is complete and submitted on time
  • Onboarding packs are accurate and ready for handover
  • Hiring timelines are improved and efficient
