About the Role
Softlink Global is a B2B SaaS company behind Logi-Sys, an intelligent ERP that runs freight, customs, warehousing, and finance operations for logistics businesses across the globe. Our Philippines branch is a lean, close-knit team, and we are looking for someone to own the people and workplace function.
This is a single-owner role. You will be the person the branch relies on for everything from an employee's first day to their last, for accurate and compliant payroll, for keeping the company on the right side of DOLE and every government agency, and for making sure the office itself runs well day to day. It suits someone who is genuinely comfortable being the sole HR and admin point of contact for a small team, who likes owning a function rather than a slice of one, and who can move between statutory compliance and on-the-ground office management without dropping either.
Experience: 1 to 3 years of combined HR and administration experience, ideally in an SME or branch setup where you carried both functions. Hands-on Philippine payroll and statutory remittance experience is essential. Familiarity with Labor Code, DOLE compliance, mandatory government benefits is expected.
Key Responsibilities
1. Employee Lifecycle & HR Operations
- Own all employee documentation from onboarding to offboarding, including employment contracts, hiring documents, regularization, and the employee 201 file.
- Maintain accurate, complete, audit-ready employee records, retained for statutory minimum period.
- Administer attendance, timekeeping, and the full leave stack.
- Manage the separation process end to end, including clearance, Certificate of Employment within the required timeline, and release of final pay.
2. Payroll & Statutory Remittances
- Process monthly payroll accurately and on time, including basic pay, holiday pay, leave adjustments, and other deductions.
- Compute and remit SSS, PhilHealth, and Pag-IBIG contributions on schedule through the respective government portals.
- Process employee government benefit with SSS, PhilHealth, and Pag-IBIG.
- Compute and release 13th month pay within the statutory deadline.
- Own BIR withholding tax computation and filing (Form 1601-C, Form 2316, and the 1604-C alpha list).
- Maintain payroll registers, payslips, and remittance confirmations as audit-ready records.
3. Government & Labor Law Compliance
- Ensure the branch stays compliant with the Philippine Labor Code, DOLE regulations, and all government agency requirements.
- Maintain DOLE registrations and prepare and submit reportorial requirements (establishment report, annual medical report, work accident and illness reports, and others as applicable).
- Own the company's mandatory workplace policies and programs, including Occupational Safety and Health, drug-free workplace, mental health, and others.
- Serve as the branch liaison with DOLE, BIR, SSS, PhilHealth, and Pag-IBIG.
- Keep management informed of changes to labor laws and government regulations that affect employees or the company.
- Ensure all employee data is handled in line with the Data Privacy Act.
4. Employee Engagement & Support
- Act as the first point of contact for employee queries on payroll, benefits, leave, and policy, and resolve them promptly.
- Process employee reimbursements and expense claims.
- Plan and run engagement initiatives such as team activities, celebrations, and recognition to sustain a positive workplace.
- Support day-to-day employee relations and help maintain a healthy, motivated team.
5. Office & Administrative Management
- Act as the single point of contact with building management on all office-related matters.
- Keep custody of office documents, permits, and lease-related paperwork.
- Manage procurement, inventory of office supplies and consumables, keeping the office well stocked.
- Maintain the office equipment asset register and coordinate upkeep, servicing, and repairs.
- Oversee office hygiene, housekeeping, pest control, and related vendor coordination.
- Ensure the workplace is functional, safe, presentable, and properly supplied at all times.
Qualifications & Requirements
- Bachelor's degree in Human Resources, Psychology, Business Administration, or a related field.
- 1 to 3 years of combined HR and administrative experience, ideally as a generalist in a small company or branch.
- Direct, hands-on experience running Philippine payroll and statutory remittances (SSS, PhilHealth, Pag-IBIG, and BIR withholding).
- Working knowledge of the Labor Code, DOLE compliance requirements, statutory employee benefits.
- Comfortable being the sole HR and admin owner for a small team, with a self-starting, ownership-driven mindset.
- Proficiency with payroll systems or an HRIS, and with MS Office or Google Workspace.
- Strong organizational skills, sound discretion with confidential information, and clear written and verbal communication.
