Position: Housekeeping Supervisor

Level: Supervisory

Reports To: Executive Housekeeper / Assistant Executive Housekeeper

The Housekeeping Supervisor is responsible for supervising and coordinating the daily operations of the Housekeeping Department to ensure that guest rooms, public areas, back-of-house areas, and other assigned areas are maintained according to Seda Hotels standards of cleanliness, safety, presentation, and service excellence.

The position ensures efficient room turnover, proper deployment of associates, effective coordination with Front Office and other departments, timely resolution of guest concerns, and compliance with hotel policies and operating standards.

KEY RESPONSIBILITIES AND DUTIES

1. Daily Housekeeping Operations

  • Supervise the daily operations and activities of assigned Housekeeping areas.
  • Conduct regular inspection of guest rooms, corridors, public areas, and other assigned areas.
  • Ensure guest rooms are cleaned, maintained, and released according to hotel standards.
  • Monitor room status and coordinate closely with Front Office for room availability and priority rooms.
  • Ensure timely preparation of vacant, occupied, VIP, long-stay, and special-request rooms.
  • Monitor room turnaround during high occupancy, group arrivals, and peak periods.
  • Ensure proper handling of lost and found items in accordance with hotel procedures.
  • Ensure proper use, care, and maintenance of housekeeping equipment and supplies.

2. Supervision and Team Management

  • Lead, coach, and supervise Housekeeping associates during assigned shifts.
  • Prepare and monitor daily work assignments based on occupancy, manpower availability, and operational requirements.
  • Ensure proper attendance, grooming, punctuality, and discipline of associates.
  • Conduct daily briefings and communicate operational updates, guest requests, and special instructions.
  • Monitor productivity and performance of assigned associates.
  • Provide on-the-job coaching and recommend appropriate training and development opportunities.
  • Recognize good performance and provide constructive feedback when improvement is required.
  • Ensure proper turnover and endorsement between shifts.

3. Quality Assurance and Room Inspection

  • Conduct systematic room inspections using established housekeeping standards and checklists.
  • Ensure rooms meet required standards for cleanliness, amenities, linen, equipment, fixtures, and overall presentation.
  • Identify maintenance defects and coordinate immediately with POMEC/Engineering for corrective action.
  • Monitor recurring room defects and recommend preventive actions.
  • Ensure rooms are properly prepared for VIPs, repeat guests, special occasions, and other priority arrivals.
  • Support internal quality audits and hotel inspections.

4. Guest Service and Concern Resolution

  • Respond promptly and professionally to guest requests and housekeeping-related concerns.
  • Coordinate with Front Office, Engineering, Security, and other departments to resolve guest concerns.
  • Follow up on guest requests until completion and ensure proper documentation.
  • Handle service recovery within established authority and escalate concerns when necessary.
  • Maintain confidentiality and professionalism when handling guest information and requests.

5. Inventory and Cost Control

  • Monitor the proper use and consumption of housekeeping supplies, amenities, chemicals, linen, and operating equipment.
  • Conduct regular inventory checks and report discrepancies.
  • Ensure proper storage, issuance, and safekeeping of housekeeping supplies.
  • Minimize wastage, damages, and unnecessary consumption.
  • Assist in monitoring departmental expenses and maintaining cost-effective operations.

6. Linen and Uniform Control

  • Monitor the availability and proper handling of guest linen, operating linen, and housekeeping uniforms.
  • Coordinate with the Laundry/Uniform section regarding shortages, damaged items, and replacement requirements.
  • Ensure proper segregation, storage, and handling of clean and soiled linen.
  • Report unusual linen losses or discrepancies to the immediate superior.

7. Safety, Security and Hygiene

  • Ensure compliance with hotel safety, security, sanitation, and housekeeping procedures.
  • Conduct regular checks for potential hazards in guest rooms and assigned areas.
  • Immediately report safety hazards, suspicious activities, damaged equipment, or security concerns.
  • Ensure proper handling and storage of cleaning chemicals.
  • Promote safe work practices and proper use of Personal Protective Equipment (PPE).
  • Participate in emergency preparedness, fire safety, evacuation, and other hotel safety programs.

8. Coordination with Other Departments

  • Maintain close coordination with Front Office regarding room status, arrivals, departures, room discrepancies, and special requests.
  • Coordinate with Engineering/POMEC regarding maintenance concerns and room defects.
  • Coordinate with Security regarding lost and found, incidents, and safety concerns.
  • Work closely with Laundry, F&B, Sales & Marketing, and other departments as required.
  • Ensure effective communication during high occupancy, events, group arrivals, and special hotel activities.

9. Training and Development

  • Conduct orientation and on-the-job training for new Housekeeping associates.
  • Monitor compliance with departmental training requirements.
  • Conduct coaching sessions and demonstrate proper housekeeping procedures.
  • Assist the Executive Housekeeper in developing departmental trainers and future supervisors.

10. Documentation and Reporting

  • Prepare and submit required shift reports and operational endorsements.
  • Maintain accurate records of room inspections, maintenance concerns, lost and found items, inventory, and other departmental activities.
  • Report incidents, guest complaints, damages, and unusual occurrences promptly.
  • Provide accurate information and updates to the Executive Housekeeper / Assistant Executive Housekeeper.
