Job Description

Key Responsibilities

Reservations & Guest Services

  • Manage guest inquiries via phone, email, and messaging platforms.
  • Assist guests with booking reservations and answering questions regarding accommodations and services.
  • Maintain reservation records accurately and efficiently.
  • Provide exceptional customer service while maintaining professionalism and patience.
  • Support reception and front-desk operations as needed.
  • Coordinate with internal teams to ensure smooth guest experiences.

Administrative Support

  • Perform a variety of administrative tasks to support day-to-day operations.
  • Assist leadership with operational and management support activities.
  • Maintain organized digital records and documentation.
  • Handle data entry and tracking responsibilities.
  • Support special projects and operational initiatives.

Billing & Payment Coordination

  • Track wedding and event-related payments.
  • Record incoming payments accurately in spreadsheets and internal trackers.
  • Coordinate with accounting regarding payment confirmations.
  • Send payment acknowledgements and confirmations using existing templates.
  • Maintain accurate payment logs and records.

Qualifications

Required

  • Experience in hospitality, hotels, resorts, property management, or guest services.
  • Previous reservation handling experience.
  • Strong verbal and written communication skills.
  • Excellent customer service abilities.
  • Comfortable using spreadsheets and tracking information.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and adapt to changing priorities.
  • Positive attitude and willingness to learn.

Preferred

  • Experience using Guesty or similar property management systems.
  • Experience tracking payments or expenses.
  • Experience supporting events or weddings.

Role Environment

This is not a traditional reservation-only position.
