JOB SUMMARY:
Home Care Virtual Assistant will provide remote administrative, communication, and scheduling support for a home care office. This role is designed for a 10-hour-per-week starting arrangement and will focus on essential daily support tasks, including answering calls and texts, assisting with caregiver scheduling updates, helping manage caregiver call-outs, documenting interactions, and supporting the office team with light administrative follow-through.
The ideal candidate is organized, responsive, detail-oriented, and comfortable working in a fast-moving home care environment. This person should be able to follow established workflows, communicate clearly with office staff, caregivers, and clients or family contacts, and accurately document actions taken in the company's systems and trackers.
JOB ROLE & RESPONSIBILITIES:
- Answer and respond to assigned phone calls and text messages during the agreed coverage schedule.
- Monitor incoming communication through company-approved platforms such as RingCentral or similar phone and messaging systems.
- Assist with caregiver scheduling updates based on the office's instructions, caregiver availability, client needs, and established matching preferences.
- Help coordinate caregiver call-outs by documenting the call-out, notifying the appropriate internal contact, and assisting with replacement coverage outreach as instructed.
- Contact caregivers regarding open shifts, schedule changes, confirmations, or other routine staffing updates.
- Assist with basic client and caregiver communication, including relaying schedule-related updates, gathering needed information, and escalating urgent concerns to the proper office contact.
- Log calls, texts, scheduling updates, caregiver responses, and actions taken in AxisCare, the client's CRM, scheduling platform, tracker, or other approved documentation system.
- Maintain a clear daily interaction tracker showing who contacted the office, the reason for the contact, the action taken, and any pending follow-up.
- Support the office team with light administrative tasks related to scheduling, documentation, caregiver follow-ups, and routine communication.
- Follow company scripts, workflows, escalation procedures, and communication guidelines when handling calls, texts, and scheduling-related concerns.
- Escalate urgent matters, client concerns, caregiver issues, missed shifts, or unresolved scheduling problems to the designated office contact promptly.
- Help keep caregiver and client-related notes organized and updated based on the office's documentation standards.
- Provide end-of-shift or end-of-coverage updates summarizing completed tasks, unresolved items, urgent concerns, and recommended follow-ups.
- Maintain confidentiality when handling client, caregiver, and company information.
- Use good judgment when prioritizing tasks within the limited 10-hour weekly schedule.
- Perform other related administrative support tasks as assigned, provided they fit within the agreed weekly coverage and role scope.
JOB REQUIREMENTS:
- Previous experience as a Virtual Assistant, Administrative Assistant, Customer Service Representative, Scheduler, Care Coordinator, or similar support role.
- Experience handling phone calls, text messages, and customer or client inquiries in a professional setting.
- Strong English communication and comprehension skills, with the ability to clearly understand spoken and written instructions, ask clarifying questions when needed, and communicate updates accurately by phone, text, and written documentation.
- Ability to follow scripts, workflows, and escalation instructions accurately.
- Strong attention to detail, especially when documenting calls, texts, schedule changes, and caregiver updates.
- Comfortable using phone systems, texting platforms, scheduling tools, CRM systems, spreadsheets, and email.
- Ability to work independently with minimal supervision once trained.
- Strong organizational and time management skills.
- Ability to stay calm and professional when handling urgent scheduling concerns or caregiver call-outs.
- Comfortable working with confidential client, caregiver, and business information.
- Willingness to learn the client's internal processes, caregiver preferences, client matching considerations, and documentation standards.
- Reliable internet connection, quiet work environment, and ability to work during the agreed coverage schedule.
- Basic understanding of home care, caregiving operations, or healthcare-related administrative support is preferred.
Preferred Certifications:
- HIPAA training or certification.
- Customer service training or certification.
- Medical office administration, healthcare administration, or office administration certificate.
- Care coordination, caregiver scheduling, or home care administration training.
- Basic medical terminology training.
- Certified Nursing Assistant, Home Health Aide, or caregiving-related credential, helpful but not required.
- Training or certification in CRM, scheduling systems, Microsoft Office, Google Workspace, or similar administrative tools.
