Job title: Home Care Scheduler

Shift Schedule: 8AM-5PM (aligned to U.S. operations and coverage needs)
A fast-paced scheduling role responsible for ensuring caregiver coverage for client shifts, maintaining a reliable schedule, and supporting daily operations through caregiver coordination and invoicing. This role requires strong English communication, decisiveness, and the ability to work firmly and efficiently under time pressure.

Objectives of this role:
- Maintain full caregiver coverage for all scheduled shifts (minimal gaps and last-minute scrambles)
- Ensure schedules are accurate, communicated clearly, and updated in real time
- Build a reliable caregiver bench by consistently finding and hiring caregivers
- Improve operational consistency by closing open shifts quickly and proactively
- Support accurate billing through timely invoicing and documentation
Responsibilities:
- Build and manage weekly schedules for caregivers and clients
- Fill open shifts quickly by contacting available caregivers and confirming coverage
- Proactively source, screen, and coordinate hiring of new caregivers to maintain staffing capacity
- Communicate schedule changes clearly with caregivers, clients/families, and internal stakeholders
- Track attendance, call-outs, replacements, and coverage confirmations with accuracy
- Maintain scheduling records and staffing notes in an organized system
- Prepare and send invoices (or support invoicing workflow) based on completed shifts and services
- Escalate coverage risks early and propose solutions (backup coverage, split shifts, adjusted staffing)
Required skills and qualifications:
- Home care scheduling experience (industry experience required)
- Strong English communication with excellent interpersonal skills
- Decisive, firm, and results-oriented—able to make quick staffing decisions
- Fast, hardworking, and able to juggle multiple priorities without dropping details
- Strong organization and documentation habits (schedules, changes, confirmations, invoicing support)
Preferred skills and qualifications:
- Experience recruiting and hiring caregivers (sourcing, screening, coordination)
- Experience handling last-minute call-outs and high-volume schedule adjustments
- Familiarity with scheduling tools/software (or ability to learn quickly)
- Experience with invoicing or billing support in home care operations
