Answer and manage incoming patient calls, messages, and administrative inquiries.
Coordinate patient scheduling, appointment confirmations, rescheduling, follow-ups, and calendar management.
Respond to patient enquiries professionally and empathetically while providing exceptional customer service.
Facilitate communication between patients, physicians, pharmacies, specialists, and healthcare providers.
Assist with referrals, medical records requests, and healthcare documentation processes.
Maintain accurate patient information within Electronic Health Record (EHR) systems.
Perform data entry and ensure the accuracy and integrity of patient and practice records.
Support the management and organisation of medical records and clinical documentation.
Monitor and organise practice email communications, electronic messages, and administrative requests.
Assist with referral management, authorisations, and insurance-related administrative follow-ups.
Prepare and maintain documents, spreadsheets, reports, and operational records using Google Workspace tools.
Support the development, implementation, and maintenance of standard operating procedures and administrative workflows.
Assist physicians and practice management with additional projects and operational initiatives as required.
Ensure confidentiality and proper handling of sensitive patient information at all times.
Job Requirements
Bachelor of Science in Nursing (BS Nursing) required.
Minimum 3 years of healthcare administrative experience, preferably supporting a physician practice, outpatient clinic, internal medicine practice, or specialty healthcare environment.
Experience supporting internal medicine, rheumatology, or similar specialty medical practices is highly preferred.
Strong knowledge of patient scheduling, referral management, medical records administration, insurance-related processes, and healthcare office workflows.
Hands-on experience working with Electronic Health Record (EHR) systems.
Experience using Athenahealth / athenaOne is highly preferred.
Proficiency with Google Workspace, including Gmail, Google Calendar, Google Docs, Google Sheets, and Google Drive.
Strong understanding of healthcare administrative processes, documentation, and patient coordination activities.
Excellent verbal and written English communication skills with a professional and patient-focused communication style.
Minimal accent preferred with the ability to communicate effectively with US-based patients and healthcare providers.
