Job Description

Join our team as a Healthcare Provider Support Specialist and help healthcare providers focus on what they do bestcaring for patients. You'll own scheduling, triage requests, and provide top-notch administrative support to a growing network of providers, all while collaborating across teams and maintaining smooth, conflict-free operations.

Compensation & Perks

Salary Range: 70,000 - 85,000/month (Final offer based on skills and experience matched to role requirements)

Work Setup: 100% permanent work-from-home

What You'll Do:

  • Act as the main point of contact for assigned providers via phone, text, and email during U.S. business hours. Owning calendars and support for 30-50 providers.
  • Manage daily calendars and scheduling requests coordinate sessions, meetings, and availability adjustments.
  • Proactively audit provider calendars on a daily basis to ensure no scheduling conflicts.
  • Support providers with administrative requests such as form completion, document uploading, and internal ticket submissions.
  • Triaging with other internal teams to provide answers to any support related inquiries for providers.
  • Proactively follow up on outstanding tasks, ensuring timely resolution and clear communication with providers.
  • Maintain accurate records and updates across our internal systems and platforms (e.g., EHR, CRM, scheduling tools).
  • Triage provider questions and requests to the appropriate internal team (Operations, Finance, Tech Support, etc.) with professional and prompt follow-through.
  • Provide a consistent, empathetic, and solution-oriented experience in every provider interaction.

What We're Looking For:

  • 2+ years in administrative support, customer success, operations, or executive assistant roles.
  • Exceptional English communication skills both written and verbal with a professional, warm tone.
  • High responsiveness and ability to manage multiple inbound requests across different channels.
  • Strong organizational skills and attention to detail; able to keep providers schedules and tasks on track.
  • Tech-savvy and quick to learn new tools (EHRs, CRMs, internal ticketing systems).
  • Comfortable asking clarifying questions and communicating openly with supervisors.
  • Strong familiarity with multiple calendaring systems: Google, Apple as the primary systems
  • Reliable availability during US business hours (8:00 AM - 5:00 PM PST) and willingness to work weekend shifts if needed.
  • Ability to tailor communication approaches / styles based on provider preferences.
  • Comfortable working across multiple channels: phone, SMS, email, and live video calls.
  • Proactive ownership mindset - looking to not only support systems and workflows but improve them with time and experience.

Nice-to-Have:

  • Experience in telehealth or mental health administration.
  • HIPAA certification.
  • Familiarity with Zendesk, Theranest (EHRs), or similar systems.
  • Prior support experience for multiple stakeholders or clients simultaneously.
  • Background in healthcare operations or provider relations.
