Job Description

About the Role

We are looking for a highly organized and detail-oriented Onboarding Specialist to coordinate the onboarding, compliance clearance, and scheduling of nursing and allied health students completing clinical rotations across multiple hospital campuses.

You will serve as a key liaison between educational institutions, clinical instructors, hospital leadership, and internal departments. Your role will ensure students and instructors are properly scheduled, credentialed, cleared, and ready before their clinical rotations begin.

This position is ideal for someone with healthcare administration, credentialing, clinical education, staffing coordination, or compliance documentation experience who can manage high volumes of information while maintaining accuracy and confidentiality.

This is a night-shift position supporting US-based healthcare clients. Candidates must be available to work during the required US business hours and maintain consistent attendance throughout the assigned shift.

Responsibilities

Clinical Rotation Coordination

  • Receive and review Clinical Rotation Request Forms from schools and educational partners.
  • Evaluate rotation requests based on unit availability, campus capacity, and scheduling requirements.
  • Coordinate student group placements across multiple hospital campuses.
  • Maintain clinical rotation schedules using Google Calendar and internal tracking systems.
  • Identify and resolve potential scheduling conflicts.
  • Ensure accurate clinical placement assignments and rotation schedules.

Onboarding & Compliance Management

  • Initiate onboarding communications with schools, instructors, and program coordinators.
  • Distribute onboarding packets, document checklists, and compliance requirements.
  • Track required documentation for students and clinical instructors.
  • Maintain organized electronic files by academic term, year, and program.
  • Review submitted documents for completeness, accuracy, and compliance.
  • Follow up on missing, expired, or incomplete documentation.
  • Ensure all requirements are completed before rotation start dates.
  • Prepare and distribute final clearance documentation.

Credentialing & Clearance Review

  • Review and track healthcare compliance documentation, including:
  • Physical examinations
  • TB screenings and chest X-rays, when applicable
  • Hepatitis B records
  • MMR and Varicella immunizations
  • Influenza vaccination records
  • COVID-19 documentation
  • Drug screening results
  • Background checks
  • BLS/CPR certifications
  • Required attestations and onboarding forms
  • Identify discrepancies and coordinate resolution with school representatives.
  • Maintain accurate, audit-ready credentialing records.

System Access & Administrative Support

  • Submit system and EMR access requests for students and instructors.
  • Coordinate onboarding requirements with internal hospital departments.
  • Maintain accurate onboarding records and documentation.
  • Generate reports and status updates on upcoming rotations and clearance progress.

Communication & Stakeholder Management

  • Serve as the primary point of contact for schools, instructors, and internal stakeholders.
  • Provide timely updates on onboarding, clearance, and scheduling status.
  • Distribute final rotation communications to Education Managers, Clinical Instructors, and leadership.
  • Collaborate with Nursing Administration, Clinical Education, and operational teams.
  • Resolve issues and follow up on outstanding requirements.

Qualifications

  • Minimum 2 years of experience in healthcare onboarding, credentialing, compliance, staffing coordination, medical staff services, clinical education, or healthcare administration.
  • Associate's or Bachelor's degree in Healthcare Administration, Business Administration, Education, Nursing, or a related field preferred.
  • Experience managing high volumes of documentation with strong accuracy.
  • Experience with scheduling, coordination, tracking, and deadline management.
  • Proficiency with Microsoft Office Suite and Google Workspace.
  • Experience with electronic document management systems.
  • Strong written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Ability to manage multiple priorities in a fast-paced healthcare environment.
  • Ability to handle confidential healthcare and employee/student information professionally.
  • Must be willing and available to work a night shift to accommodate US-based clients.
  • Must be willing to work onsite (Philexcel Clark, Pampanga)

Preferred Qualifications

  • Experience supporting nursing schools or clinical education programs.
  • Healthcare credentialing or medical staff services experience.
  • Familiarity with healthcare regulatory and compliance requirements.
  • Experience with EMR access provisioning.
  • Experience with healthcare onboarding systems.
  • Knowledge of student clinical rotation processes.
  • Experience working with healthcare education partners.
