Job Summary:

The Client Support Specialist is responsible in providing client communication, documentation, CRM administration, and operational coordination support. The role assists clients throughout their service journey, maintains accurate records, coordinates with laboratories and receiving clinics, and supports the timely processing of documentation, reports, certificates, and cryopreserved specimen releases.

Responsibilities:

• Respond to client inquiries by telephone and email regarding documentation, kits, sample receipt, reports, certificates, storage, logistics, and account-related concerns.

• Follow up with clients to obtain incomplete forms, service agreements, medical records, authorizations, and other required documentation.

• Explain administrative processes and next steps clearly while escalating clinical, laboratory, regulatory, or quality-related concerns appropriately.

• Create, organize, and maintain complete electronic client records and documentation in Microsoft Teams and designated systems.

• Update Salesforce and other systems with accurate client, service, specimen, storage, payment, documentation, and shipment information.

• Maintain accurate records of client interactions, outstanding requirements, follow-ups, milestones, and completed activities.

• Review documentation for completeness and identify missing or inconsistent information for appropriate resolution.

• Coordinate cryopreserved sperm specimen releases between clients, storage laboratories, receiving IVF clinics, and reproductive laboratories.

• Collect and verify required authorizations, release forms, identification documents, clinic credentials, shipping details, and other applicable requirements.

• Track release and shipment requirements, anticipated dates, approvals, tracking information, and completion details.

• Provide timely status updates to clients, clinics, laboratories, and internal stakeholders throughout the coordination process.

• Escalate international transfers and unusual clinical, regulatory, quality, or logistical concerns to management.

• Coordinate with processing and storage laboratories regarding documentation, sample status, reports, and administrative inquiries.

• Assist with kit inventory monitoring, kit assembly, departmental reporting, administrative logs, and other operational activities as assigned.

Qualifications and Requirements:

• Minimum of two (2) years of experience in administrative coordination, healthcare operations, laboratory services, fertility services, logistics, or client support.

• Experience handling client documentation, records, or time-sensitive coordination activities.

• Experience in Microsoft Office, Microsoft Teams, email, and CRM platforms.

• Experience coordinating multiple client requests, documentation requirements, or operational activities simultaneously.
