Head of Business Systems and Automation

Our client is a fiercely independent Australian advertising and media agency. We help ambitious brands grow through mass brand-building channels, TV, radio, out of home and sports marketing.

We are in an active growth phase, building the high-leverage systems, automation and operating discipline required to scale with tier-one agency capability - turning growth into greater capability, consistency, margin and client impact, not just a bigger top line.

About the role

This is a senior, hands-on role for someone who designs how a business operates and then builds the technology to power it. Process first, technology second. You own the systems, automation and AI that run our agency and enable our growth. You shape how we scale, and you build and run the stack that makes it happen.

This seat is deliberately both

You will shape how the agency scales, and you will build and run the systems yourself. There is no layer beneath this seat. If you want to head a department and delegate the hands-on work downward, this is not it. If you only want to administer a stack, it will be too senior. The right person wants both, real ownership, low politics, and the autonomy to shape how a growing agency operates.

What you will own

• Core platforms end to end. HubSpot, Microsoft 365, Notion, Employment Hero and Xero, configured, optimised, secure and fit for how we work, plus the integration and automation layer, Make.com, Zapier, APIs, webhooks and JSON.

• Technology delivery. End-to-end project management of any initiative with a technology component, from definition through build to adoption.

• Business analysis and solution design. Turning a business requirement into a practical, commercially sound systems solution.

• Automation and AI. Identifying and building solutions that remove manual effort and create leverage across marketing, sales, client services, HR and operations.

• The operating layer. The systems, process and data our scalable operating model runs on, including SOPs and documentation.

• Change and adoption. Driving new tools and process through to real use across the team, not just deployment.

What you bring

Essential

• Proven hands-on build across a comparable stack, with deep, demonstrable HubSpot capability and strong Microsoft 365 administration.

• Demonstrated experience owning technology projects end to end using structured, iterative delivery methods.

• Business analysis capability, a track record of converting a business requirement into a working, fully adopted solution which delivers the expected business outcomes.

• Hands-on integration and automation experience across middleware such as Make.com and Zapier, working directly with APIs, webhooks and JSON, and practical application of AI tools including LLM assistants such as Claude to build workflow and internal tools.

• Experience writing SOPs and documentation and delivering training that drove real adoption.

• A credible peer to senior stakeholders, able to communicate technology work to non-technical people.

Desirable

• Experience within marketing, media or professional services.

• Experience administering Xero, Employment Hero or comparable finance and HRIS platforms.

• Experience with Notion as a work and operating layer.

• Relevant HubSpot certifications, kept current as vendors release new capability.

• Degree in Information Systems, Computer Science, Business or a related field.

This is a full work-from-home role. You will work from your own home office.
