Equipment: Bring Your Own Device (BYOD)

Schedule: 9:00 am - 6:00 pm EST (Monday-Friday)

We are seeking a motivated and detail-oriented Sr. Onboarding Specialist to join our team. As an integral part of the customer success team, you will play a vital role in guiding new customers through the onboarding process, ensuring a seamless and satisfying experience. If you’re tech-savvy, enjoy working directly with clients, and have a strong interest in AI and prompt engineering, this role is for you.

What does a day in the life as a Sr. Onboarding Specialist look like

  • Client Discovery Management:
  • Serve as the primary point of contact for assigned customers during the discovery process.
  • Conduct discovery calls to understand customer goals and requirements.
  • Develop detailed implementation outlines based on customer needs, ensuring clarity on what is possible with the platform.
  • AI Agent Development:
  • Analyze transcripts from AI creation calls to design AI agents tailored to customer needs.
  • Apply basic prompt engineering skills to create functional and effective AI agents.
  • Collaborate with customers to test, refine, and improve AI agents as needed.
  • Platform Expertise:
  • Gain a thorough understanding of the platform to provide insightful recommendations and solutions.
  • Strong understanding of and experience with Asana
  • Assist customers with questions about platform capabilities and limitations.
  • Navigate and provide guidance on GHL (Go HighLevel) to align customer expectations with platform functionalities.
  • Customer Communication:
  • Respond to customer inquiries via Intercom, Slack, and other communication tools.
  • Address troubleshooting and onboarding challenges promptly and professionally.
  • Ensure clear, consistent, and client-focused communication in all interactions.
  • Team Collaboration
  • Work collaboratively with multiple internal teams to ensure a smooth handoff of projects.
  • Prepare and deliver clear, detailed project requirements for the Implementation Specialist, who will handle the technical build.
  • Coordinate with the Prompt Engineering team to QA AI prompts and ensure client needs are met.
  • Communicate effectively with Account Managers, Implementation Specialists, CSMs, and technical teams to ensure alignment on timelines, deliverables, and expectations.
  • Participate in regular team syncs and cross-functional meetings to maintain visibility of project status and escalate any blockers proactively.
  • Act as a bridge between clients and internal teams during the discovery process, ensuring accurate translation of business requirements into technical actions.
  • Update and manage project task completion progress in Asana for team visibility.

What are the required qualifications for a Sr. Onboarding Specialist

  • Proficiency in GHL (GoHighLevel) automations
  • Experience with AI concepts, including prompt creations/engineering
  • Experience in a client-facing role, preferably conducting discovery calls, in onboarding, customer success, or similar functions.
  • Strong communication and interpersonal skills with the ability to manage client expectations effectively.
  • Ability to manage multiple tasks and projects while maintaining attention to detail.
  • Self-starter with a willingness to learn and adapt to new technologies and processes.
  • Experience working in a fast-paced, startup-like environment.

Preferred Qualifications:

  • Experience with A2P registration and Twilio is a strong advantage but not required.
  • Familiarity with tools like Intercom, Slack, and other communication platforms.
  • Familiarity with other CRMs such as Salesforce, HubSpot, or Pipedrive.
  • Experience with 3rd party integration tools (Zapier, Make) is a plus.
  • Background in CRM customization, automations, and integrations.
  • Knowledge of AI tools like ChatGPT and their practical application in automation workflows.
