Job Overview

We're looking for a GoHighLevel Automation Specialist who will own the backend automation and lead nurturing systems that power a growing health coaching business. From setting up GoHighLevel workflows to managing client engagement through coaching platforms, you'll be the operational backbone that turns Meta ad leads into enrolled clients while keeping current clients compliant and engaged. This role combines technical automation expertise with hands-on client support, giving you ownership over systems that directly impact business growth.

Client Overview

Our client is a clinical nutrition business specializing in women's metabolic and hormonal health. They generate lead flow primarily through Meta ads and are expanding their team to scale operations. This is their first virtual assistant hire, working alongside the founder and two coaches.

Schedule: 20 hours per week, Flexible during client business hours | Australian Eastern Time

Responsibilities

• Set up and manage GoHighLevel backend systems including lead nurturing sequences and automation workflows
• Build automated sequences for leads who book consultations, including pre-appointment messaging over five days with client testimonials and reminders
• Create 30-day nurture sequences for leads who don't book or can't be reached immediately
• Manage ghost coaching duties in Trainerize, including daily review of client workout comments and updates
• Operate a red light/green light compliance tracking system via spreadsheet to monitor client engagement
• Set up retargeting audiences in Meta ads for leads and engaged users to run testimonial video campaigns
• Integrate Calendly booking systems with GoHighLevel automation sequences
• Handle backend administrative updates including cancellation protocols, spreadsheet management, and notice period workflows
• Communicate via WhatsApp group for real-time coordination on client status changes and administrative tasks
• Troubleshoot and optimize automation workflows to ensure no leads fall through the cracks

Requirements

• Proven expertise in GoHighLevel setup, automation, and backend management
• Experience building lead nurturing sequences and marketing automation workflows
• Familiarity with Meta ads retargeting and audience management
• Strong administrative and organizational skills with attention to detail
• Experience with spreadsheet-based tracking and reporting systems

Qualifications

• Experience with Trainerize or similar coaching platforms
• Experience working in health, wellness, or fitness industries
• Ghost coaching or client engagement experience
• Familiarity with Calendly integration and booking automation
