About the Role

The Global Talent Operations & Internal Staff Mobility Specialist, plays a critical role in enabling global talent operations, ensuring compliance, and enhancing workforce visibility across AAT's international business. This role is responsible for delivering efficient employee lifecycle processes, maintaining accurate HR systems and records, and ensuring compliance across documentation, data, and reporting.

Acting as a central coordination point, the role supports onboarding and offboarding, employee mobility and visa processing, recruitment administration, organisational data management, and global workforce reporting. It works closely with teams across Australia, China, the Philippines, the USA, and other regions to ensure processes, systems, and documentation are accurate, consistent, and aligned with global standards, while remaining locally relevant.

Sitting within the Talent function, this role focuses on operations and mobility—supporting hiring, onboarding, and the global movement of employees, while talent strategy, workforce planning, acquisition, and retention remain under the Head of Talent Planning & Acquisition.

The role also drives operational efficiency through structured processes, workforce planning support, compliance monitoring, and continuous improvement of talent systems, tools, and resources.

This role is based in Alabang, Muntinlupa, is primarily onsite, requires flexibility in working hours to support global operations, and reports to the CFO.

What We're Looking For

We are seeking a highly organised and detail-oriented professional with experience in HR administration, record management, people operations, or workforce support, and a strong understanding of global mobility and visa processing. The ideal candidate brings solid experience in managing employee records, documentation, and compliance, along with excellent written communication and the ability to produce clear, accurate documentation and structured processes.

This role requires someone who can collaborate effectively with global stakeholders, ideally within a global shared services environment, while maintaining structured, compliant systems. A proactive mindset and the ability to continuously improve processes are essential to succeed in a fast-paced, multinational setting.

Key Responsibilities

  • Employment Documentation Management: Prepare employment contracts and variations using global templates, maintain jurisdiction-specific versions, track probation periods, and recommend process improvements.
  • Global Job Architecture: Maintain job titles, job families, and role descriptions to ensure global consistency with appropriate local adaptations.
  • Organisation Chart Management: Maintain accurate global and project-specific organisation charts aligned with operational structures.
  • Global Talent Acquisition Support: Administer global job postings, coordinate interviews across time zones, maintain recruitment templates and tools, and ensure compliance with local regulations and culturally appropriate practices.
  • Global Onboarding & Offboarding: Manage and continuously improve onboarding and offboarding workflows, including coordination of ICT access and regionally aligned processes.
  • People Operations Systems Administration: Maintain employee records in line with international privacy requirements, manage SharePoint libraries, and support internal audits.
  • Policy, Culture & Values Management: Maintain the global policy library, coordinate regional reviews, ensure local compliance, and support the development of culture and values materials.
  • Global Collaboration & Continuous Improvement: Partner with regional teams to ensure global standards are met while respecting local practices, and identify opportunities for process improvements.
  • Visas and Immigration: Support visa and immigration processes, including preparation of applications and coordination of required documentation.

Qualifications, Skills & Experience

Qualifications

  • Degree in Human Resources, Business Administration, or related discipline
  • Microsoft 365 / SharePoint training or certification (desirable)
  • Exposure to global workforce operations or cross-cultural environments (preferred)
  • Strong capability in process design, documentation, or policy writing

Experience

  • Demonstrated experience in HR administration, people operations, recruitment coordination, or workforce support
  • Hands-on experience in visa processing and global mobility support, including preparation of applications and coordination of documentation (required)
  • Experience managing employee records, documentation, and compliance processes

Skills

  • Strong organisation and attention to detail, with high data accuracy
  • Excellent written communication and documentation skills
  • Proficiency in Microsoft 365 (Teams, SharePoint, Excel, Word, Outlook)
  • Ability to work across multiple time zones, cultures, and jurisdictions
  • High level of confidentiality, professionalism, and sound judgement
