Job Description

Objective of the position

The Global Project Manager at Ivoclar is responsible for leading and delivering complex, cross-functional global projects aligned to the company's strategic priorities. The role ensures structured, governance-driven, and value-focused execution, with full adoption of the ServiceNow Strategic Portfolio Management (SPM) tool as the source of truth for planning, tracking, and reporting. Acting as the central orchestrator across global stakeholders, the role translates approved initiatives into executable plans, managing timelines, resources, dependencies, risks, and financials while ensuring strong alignment across regions and functions.

The role drives delivery discipline and transparency by enforcing standardized project lifecycle management and ensuring that all project data, milestones, and updates are accurately maintained within SPM. It safeguards data integrity and reporting quality to enable real-time decision-making, while ensuring projects are delivered on time, within budget, and with clear business value. Beyond execution, the role ensures sustainability of outcomes by embedding governance, ownership, and measurable impact across the global organization.

Responsibilities

· Translate enterprise strategy, transformation priorities, and approved demand into structured, executable global project plans

· Validate project scope, objectives, success criteria, and business outcomes with sponsors and stakeholders

· Ensure alignment of all projects to Ivoclar's strategic pillars, financial targets, and value realization expectations

· Support prioritization and sequencing of projects based on impact, dependencies, and resource capacity

· Challenge unclear or underdefined demand and enforce readiness criteria before project initiation

Project Planning & Structuring (SPM Governance)

· Develop end-to-end project plans including scope, WBS, milestones, timelines, dependencies, and critical path

· Define project governance structure, roles, responsibilities and decision-making forums

· Establish baseline plans (scope, timeline, cost, benefits) within the SPM tool

· Ensure all required project artifacts are created, reviewed, and uploaded in SPM

· Maintain SPM as the source of truth with complete, accurate, and structured project data

Execution & Delivery Management

· Lead day-to-day project execution across global, cross-functional teams and regions

· Track progress against plan, proactively managing deviations, bottlenecks, and delivery risks

· Manage interdependencies across projects, workstreams, and functions to ensure seamless execution

· Drive accountability across stakeholders to meet committed deliverables and timelines

· Ensure adherence to defined methodologies (waterfall, hybrid, or agile as applicable)

SPM Tool Ownership & Data Integrity

· Ensure all project updates are regularly and accurately updated in SPM

· Maintain high data quality standards, ensuring completeness, consistency, and audit readiness of SPM records

· Track baseline vs. actual performance within SPM

· Enable real-time visibility for leadership through structured dashboards and reporting

· Train and guide stakeholders on proper SPM usage, standards, and compliance requirements

· Serves as the central point of accountability for ServiceNow SPM, driving adoption, ensuring data integrity, and enabling project teams through structured support, governance, and training.

Stakeholder & Governance Management

· Lead stakeholder engagement across global business functions, regions, and leadership levels

· Facilitate governance forums like steering committees, project reviews, working sessions

· Provide clear, concise, and executive-level reporting on project status, risks, and decisions required

· Manage stakeholder expectations, alignment, and communication throughout the lifecycle

· Drive decision-making by presenting data-driven insights and recommendations

Change Management & Adoption

· Identify organizational, process, and technology impacts of projects

· Partner with business stakeholders to ensure readiness, communication, and adoption plans are in place

· Ensure training, documentation, and transition plans are defined and executed

· Drive stakeholder buy-in and minimize resistance to change

· Monitor adoption and effectiveness post-implementation

Quality Assurance & Standards Compliance

· Ensure all deliverables meet defined quality standards and acceptance criteria

· Enforce compliance with Ivoclar project management frameworks, governance, and controls

· Conduct regular project health checks and reviews

· Ensure documentation is complete, version-controlled, and audit-ready

· Maintain consistency in project execution across global teams

Reporting, Insights & Decision Support

· Provide structured, real-time reporting through SPM dashboards and executive summaries

· Highlight key risks, issues, variances, and required decisions

· Deliver data-driven insights on project performance, trends, and portfolio health

· Support leadership in prioritization and course correction decisions

· Ensure transparency across the global project portfolio

Project Closure & Value Realization

· Ensure formal project closure including sign-offs, documentation, and handover

· Validate that all deliverables, outcomes, and benefits have been achieved

· Transition ownership to business or operations teams with clear accountability

· Conduct lessons learned sessions and capture improvement opportunities

· Ensure sustainability of outcomes and integration into the operating model

Qualifications

Education:

· Bachelor's Degree

· 8–12+ years of experience in project/program management, preferably in global, cross-functional environments

· Proven track record of leading large-scale, complex transformation or global projects end-to-end

Expertise:

· Strong expertise in structured project management methodologies (Waterfall, Agile, Hybrid)

· Demonstrated ability to manage multiple projects simultaneously with competing priorities

· Deep experience in project planning, WBS creation, dependency management, and critical path analysis

· Strong financial acumen, including budget management, forecasting, and benefits realization tracking

ServiceNow SPM & Digital Tools

· Hands-on experience with ServiceNow Strategic Portfolio Management (SPM) or equivalent project portfolio management tools

· Strong understanding of project data governance, lifecycle tracking, and reporting within digital platforms

· Ability to drive adoption, ensure data integrity, and enforce standards within SPM

· Proficiency in O365(Excel, PowerPoint, Power Automate), and reporting/dashboard tools

Leadership & Behavioral Competencies

· Strong stakeholder management skills, with the ability to engage and influence senior leadership and global teams

· Excellent communication and presentation skills, with the ability to translate complex information into clear insights

· Proven ability to lead cross-functional and multicultural teams across geographies

· Strong facilitation skills for governance forums, steering committees, and decision-making sessions
