Job Description

Our client is a US-based community association management company that handles the day-to-day operations and finances of homeowner-association (HOA) communities. As a Staff Accountant, you own the financial operations for a portfolio of those communities. You are the person who keeps each community's books accurate and on schedule, produces the financial packages boards rely on, and acts as a steady, professional point of contact for community managers and board members.

This is a high-volume, multi-entity role. You will carry several communities at once, each with its own month-end close, bank reconciliations, budget, and reporting calendar. The work rewards people who are organized to the point of habit, who take personal ownership of a portfolio, and who would rather catch a discrepancy themselves than have an auditor find it later. You will operate with minimal supervision: you are trusted to meet deadlines without reminders and to raise issues before they become problems.

Equally important is how you communicate. HOA accounting is client-facing. You will explain financial information to people who are not accountants — community managers and elected board members — and you will sometimes do it under pressure, with strong personalities, about money. We are looking for someone who stays calm, clear, and solutions-focused no matter the volume or the temperature of the conversation.

Responsibilities

Financial Reporting

  • Prepare accurate monthly, quarterly, and annual financial statements for all assigned communities, consistently meeting internal and client-facing deadlines
  • Accrue expenses monthly and ensure all entries are properly documented and categorized
  • Review and approve peer work product to maintain quality standards across the accounting team
  • Prepare financial packages and reports for community board presentations and management review

Bank & Account Reconciliations

  • Perform monthly bank reconciliations for all assigned community accounts
  • Reconcile additional balance-sheet accounts as required and resolve discrepancies promptly
  • Maintain clean, audit-ready reconciliation workpapers for every community in the portfolio

Budget Management

  • Review, prepare, enter, track, and report on community budgets throughout the fiscal year
  • Monitor actual performance against budget and flag variances to management and boards
  • Support the annual budget preparation process for all assigned communities

Community & Account Administration

  • Set up new communities and accounts in the accounting system accurately and completely
  • Process community terminations, including final reconciliation and proper close-out
  • Maintain organized, up-to-date records for all active and terminated communities

Client & Internal Communication

  • Respond to a high volume of calls and emails from team members, community managers, and board members, on time and professionally
  • Communicate financial information clearly to non-accounting stakeholders
  • Handle challenging conversations and strong personalities with a calm, solutions-focused approach

Requirements

  • Active CPA license, or your country's equivalent professional accountancy license
  • Understanding of HOA / community-association management and financials, including how governing rules and regulations apply
  • Hands-on accounting experience applying US GAAP in a community association or property-management context
  • Strong working knowledge of general ledger accounting, accruals, and month-end close across multiple entities
  • Demonstrated experience performing monthly bank and balance-sheet reconciliations and maintaining audit-ready workpapers
  • Proficiency in Microsoft Excel for financial reporting, reconciliations, and budget tracking, plus Microsoft Word
  • Ability to manage a high volume of work across multiple client accounts simultaneously without sacrificing accuracy or timeliness
  • Clear written and verbal English communication, with the ability to explain financials to non-accountants
  • Self-directed work style: meets deadlines without reminders and raises issues proactively, while also collaborating well in a team

Nice to Have

  • Experience on a dedicated HOA / community-association management platform (e.g., Vantaca, TOPS, Caliber, Jenark, AppFolio)
  • Experience preparing financial packages for board presentations
  • Experience reviewing and approving other accountants work product
