The General Accounting Associate helps the General Accounting Office by handling payments and billing, keeping financial records accurate, and assisting with reconciliations and budgets. The role also involves coordinating with departments and suppliers, managing documents and data entry, and ensuring compliance with financial and data privacy policies.
Responsibilities:
Payment Processing & Recording
- Handle requests for payment (RFP) and record them in the accounts payable system
- Ensure all accounting entries are complete and accurate
- Coordinate with departments to resolve issues with RFPs
Payables & Reconciliation
- Prepare aging reports of payables and optimize payment terms
- Perform account reconciliations
- Process transactions, issue checks, and update ledgers and budgets
Office & Administrative Support
- Assist with filing, data entry, answering phones, and processing mail
- Maintain and track documents, ensuring proper logging until resolved
- Serve as gatekeeper of all accounting documents
Client & Supplier Communication
- Handle inquiries and communication via phone, email, and in-person
Financial Assistance
- Assist in preparing journals, ledgers, spreadsheets, and budgets
- Support the preparation of billing for receivables based on agreed terms
Compliance
- Ensure adherence to data privacy regulations, including the Data Privacy Act of 2012
Qualifications:
- Bachelor's degree in Accountancy, Management Accounting, or a related field.
- 13 years of relevant experience in general accounting, payables, or financial reporting.
- Solid knowledge of financial accounting, budgeting, reconciliations, and billing processes.
- Knowledgeable in accounting systems.
- Strong numerical aptitude with problem-solving and financial statement analysis skills.
- Effective communication and interpersonal skills for coordinating with departments, clients, and suppliers.
- Highly organized, and detail-oriented.
- Demonstrated integrity and ability to maintain confidentiality in handling sensitive financial data.
- Familiarity with compliance requirements, including the Data Privacy Act of 2012.
