Job Description

The Funds Custodian is responsible for the safekeeping, disbursement, monitoring, liquidation, and replenishment of operational cash funds used to support transport and delivery activities. The role ensures that all fund transactions are properly authorized, accurately documented, and fully supported by required documents while maintaining compliance with company policies and internal control standards.

  • Release approved cash funds to drivers, crews, and authorized personnel, verify fund requests and supporting documents, ensure sufficient cash availability, and safeguard funds under custody.
  • Conduct daily cash counts and fund reconciliations, maintain accurate records of cash releases, liquidations, replenishments, and balances, and report any shortages or discrepancies.
  • Receive, review, and validate liquidation documents, ensuring all expenses are properly supported by authorized records and directly related to operational requirements.
  • Monitor outstanding cash advances and unliquidated funds, maintain aging reports, follow up concerned personnel, and escalate unresolved issues when necessary.
  • Prepare and issue Cash Vouchers, Acknowledgment Receipts, Statement of Expenses and Liquidation (SEL), and other fund management documents while ensuring proper filing and document control.
  • Ensure compliance with company policies, finance guidelines, and internal controls, support audits, and recommend improvements to fund management processes and accountability measures.
  • Prepare reports on fund utilization, cash balances, liquidations, replenishments, and outstanding advances, and perform other duties and special projects assigned by management.

Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
  • At least 2-3 years of experience in cash handling, revolving fund management, treasury, accounting support, or similar functions.
  • Experience supporting transport, logistics, or operational environments is an advantage.
  • Proficient in basic computer applications (MS Excel, Word, email).
