Job Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the CEO of a growing healthcare organization. This role will serve as the CEO's right hand, managing executive calendars, communications, compliance tracking, leadership coordination, administrative operations, and client relations. The ideal candidate is detail-oriented, resourceful, and capable of managing multiple priorities while maintaining confidentiality and professionalism.

Schedule: 9am-5pm Monday-Friday Eastern time.

Responsibilities
- Manage the CEO's calendar, meetings, travel, and executive communications.
- Oversee email management, correspondence, and priority follow-ups.
- Prepare reports, presentations, meeting materials, and organizational documents.
- Coordinate leadership activities, projects, and deadline tracking.
- Support HR, onboarding, compliance, and certification monitoring.
- Assist with financial administration, payroll coordination, and vendor management.
- Handle client and family communications, concerns, and meeting coordination.
- Support marketing, referral tracking, and business development efforts.
- Prepare daily executive briefings and operational updates.
Requirements
- Previous experience as an Executive Assistant, Senior Administrative Assistant, Operations Coordinator, or similar role.
- Exceptional calendar management and scheduling skills.
- Strong written and verbal English communication skills.
- Experience managing executive inboxes and drafting professional correspondence.
- Proficiency with Microsoft Office, Google Workspace, Zoom, and Teams.
- Ability to prepare reports, presentations, meeting agendas, and executive summaries.
- Strong organizational skills with the ability to prioritize competing deadlines.
- Experience coordinating meetings, travel arrangements, and leadership communications.
- Comfortable handling confidential business, employee, and client information.
- Detail-oriented with strong follow-through and problem-solving abilities.
- Experience supporting HR processes, onboarding, compliance tracking, or healthcare-related administration is preferred.
- Ability to work independently, anticipate needs, and provide proactive support to executive leadership.
