Job Description

JOB SUMMARY:

The Receptionist is responsible for managing front desk operations, handling client and visitor interactions, and providing administrative and facilities support while ensuring strict adherence to confidentiality, data privacy, and internal control standards.

DUTIES AND RESPONSIBILITIES:

1. Serves as the first point of contact of the company, ensuring a professional, secure, and client-focused reception experience.

2. Manages incoming calls, emails, and inquiries, ensuring accurate routing and timely responses.

3. Welcomes and assists clients, applicants, and visitors in accordance with firm protocols and security procedures.

4. Issues and manages visitor passes for visitors and vendors, especially those accessing other floors, in line with security protocols.

5. Handles incoming and outgoing mail, ensuring proper logging, distribution, and confidentiality of sensitive documents.

6. Maintains organized and secure filing systems for correspondence, invoices, and official documents.

7. Oversees daily front office operations, ensuring compliance with internal controls and administrative policies.

8. Manages meeting room reservations with proper documentation and confidentiality protocols.

9. Ensures cleanliness and orderliness of the reception and common areas in coordination with facilities.

10. Ensures adherence to company policies, audit compliance standards, and health and safety regulations.

11. Performs other duties and responsibilities as may be assigned from time to time.

JOB COMPETENCIES:

1. Bachelor's degree in business administration, Hospitality Management, Tourism, or any related field.

2. At least 1–2 years of experience in Front Office, Administrative, or Client-Facing roles (preferably in a professional services firm).

3. Proficient in Microsoft Office (Word, Excel, PowerPoint, Office 365).

4. Knowledge of data privacy, document control, and office security protocols is an advantage.

5. Strong communication skills (verbal and written), with ability to interact with local and international clients.

6. Detail-oriented with strong organizational skills a high level of accuracy and accountability.
