About the Job
Key Duties:
Reception and Customer Service
- Greet visitors warmly and professionally, creating a positive first impression and promptly addressing inquiries or concerns.
- Maintain an organized and clean reception area that reflects a professional environment.
- Assist with visitor check-in procedures, issue IDs, and notify team members of guest arrivals.
- Manage front desk phone operations, including directing calls, taking messages, and providing requested information.
Concierge Services for Client Visits
- Act as the main point of contact for visiting clients, addressing on-site requests or concerns efficiently.
- Coordinate with departments to prepare for client visits, ensuring all logistics, meeting spaces, and amenities meet high standards.
- Confirm visit details in advance, gathering specific requirements or preferences to provide a personalized experience.
- Provide hospitality services such as refreshments, tours, and accommodations to create a seamless visit.
Administrative Support
- Handle incoming/outgoing mail, office supplies management, and courier coordination.
- Schedule and coordinate meetings, reserve conference rooms, and arrange for refreshments or other needs.
- Provide logistical support for company events and manage visitor logs, contact lists, and other records accurately.
Communication and Coordination
- Serve as a liaison between the reception area and internal departments, relaying messages and coordinating visitor needs.
- Respond promptly and professionally to email inquiries, live chat support, and other communication channels.
- Assist with announcements and updates to ensure smooth daily operations.
Safety and Security
- Monitor the reception area to maintain a safe environment, reporting any suspicious activity or potential risks.
- Adhere to company protocols for visitor access and identification.
- Collaborate with security personnel to prevent unauthorized access and ensure office safety.

- Ensuring accurate visitor logs, document handling, and coordination of requests with precision.
- Ability to quickly address issues and concerns, ensuring smooth operations and positive experiences for visitors.
- Ability to work harmoniously with other team members and departments to ensure seamless operations.
- Willingness and ability to adapt to different shift schedules and accommodate varying work hours, including weekends or holidays.
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and basic phone systems for daily operations and administrative tasks.
Qualifications
- High school diploma or equivalent required; additional training or certifications in customer service or office administration are a plus.
- Prior experience in reception, front desk, or customer service roles is preferred, with a focus on creating a welcoming environment and providing administrative support.
- A courteous, approachable, and professional attitude at all times when interacting with visitors, clients, and employees.
