Hi! We're Smartsourcing, and we're looking for a Freight Auditor to support our logistics and freight operations team. You'll review freight bills and shipment-related documentation, validate billing accuracy, identify discrepancies, and assist with freight recovery processes—helping ensure accurate carrier charges, efficient auditing operations, and reliable support for U.S.-based clients and carriers.

Role Overview
The Freight Auditor involves auditing freight charges against carrier contracts, retrieving and validating supporting documents, preparing recovery claims, and maintaining accurate audit records in accordance with established operational standards and procedures. Operating within a high-volume and deadline-driven environment, the role requires exceptional attention to detail, strong documentation discipline, and the ability to manage structured audit workflows independently following training and onboarding. The role also supports collaboration with internal audit and recovery teams to ensure timely issue resolution and accurate recovery processing.
Key Responsibilities
A. Freight Bill Audit & Validation
- Audit and validate freight bills against carrier contracts, rates, and agreed pricing structures
- Verify freight line items, accessorial charges, shipment weights, and contracted rates for billing accuracy
- Identify billing discrepancies, overcharges, and documentation inconsistencies
- Document audit findings clearly with supporting evidence and references
- Apply established audit SOPs consistently and escalate exceptions requiring further review
B. Documentation Retrieval & Verification
- Retrieve shipping and carrier documentation from portals such as FedEx, Maersk, and Hapag-Lloyd
- Validate documentation against freight bills, shipment information, and client contracts
- Upload, organize, and maintain verified documents within internal systems and repositories
- Reconcile missing, incomplete, or inconsistent documentation through follow-up with carriers or internal teams
- Maintain organized document trails to support audit defensibility and compliance requirements
C. Claims Filing & Recovery Support
- Prepare and file freight recovery claims with complete evidence and supporting documentation
- Submit validated claims to U.S.-based audit and recovery teams within agreed audit cycle timelines
- Track claim statuses and provide follow-up information or clarifications when required
- Prepare concise claim summaries linking identified discrepancies to supporting source documentation
- Maintain complete audit trails from discrepancy identification through claim submission
D. Collaboration with Audit & Recovery Teams
- Coordinate with U.S. and Cebu audit teams to resolve discrepancies and clarify audit findings
- Communicate clearly and professionally through written correspondence and operational updates
- Surface blockers, recurring discrepancies, and unresolved issues to leadership when required
- Participate in audit cycle planning, operational meetings, and team discussions
- Maintain collaborative working relationships across internal and external stakeholders
E. Process Improvement & Reporting Support
- Support reporting related to audit volume, recovery activities, exception trends, and operational metrics
- Identify recurring billing issues and contribute process improvement suggestions
- Support workflow and tooling enhancements alongside Product and IT teams
- Contribute to SOP updates, process documentation, and team knowledge sharing
- Identify opportunities to improve audit efficiency and reduce repetitive issues
F. Artificial Intelligence (AI) Readiness and Digital Enablement
- Maintain baseline AI literacy relevant to their role, including the ability to understand, use, and evaluate AI-supported tools for work efficiency and decision-making.
- Use approved AI tools and digital systems in compliance with company policies, data privacy requirements, information security standards, and client confidentiality obligations.
- Apply sound judgment in AI use by validating outputs, avoiding overreliance, and ensuring accuracy, fairness, and professional accountability for all work delivered
- Participate in required AI readiness trainings, upskilling programs, and continuous improvement initiatives as part of Smartsourcing's innovation and learning culture.
- Proactively identify opportunities for process improvement through automation, digitization, and responsible AI integration within their scope of work.
Work Schedule: 9 PM-6 AM PHT
Qualifications:
- Bachelor's degree in any field. Background in Logistics, Supply Chain, Business Administration, Accounting, or Finance is advantageous
- Minimum 3 years freight audit and payment experience preferred; experience in logistics, shipping, supply chain, or high-volume operational processing environments advantageous
