Key Responsibilities
- Fleet Maintenance & Repairs
- Coordinate and monitor vehicle repairs and maintenance schedules
- Liaise with service providers, mechanics, and suppliers
- Ensure timely completion of repairs to minimize downtime
- Maintain records of repair history and costs
- Preventive Maintenance Services (PMS)
- Track and schedule regular PMS for all fleet vehicles
- Ensure adherence to manufacturer-recommended maintenance intervals
- Monitor vehicle condition and proactively report issues
- Vehicle Registration & Compliance
- Process and monitor vehicle registrations and renewals
- Ensure all vehicles comply with government regulations
- Maintain updated records of OR/CR, permits, and related documents
- Legal & Documentation
- Handle documentation related to traffic violations, incidents, and disputes
- Coordinate with authorities when necessary
- Maintain organized filing of all fleet-related legal documents
- Insurance Management
- Process insurance applications, renewals, and claims
- Coordinate with insurance providers for claims processing
Maintain updated insurance records for all vehicles
- Fleet Monitoring & Reporting
- Track vehicle usage, fuel consumption, and mileage
- Monitor driver compliance and vehicle assignments
- Prepare periodic fleet reports (maintenance, expenses, and utilization)
- Identify cost-saving opportunities and efficiency improvements
- Administrative Support
- Maintain an accurate and updated fleet database
- Prepare purchase requests, work orders, and related documentation
- Assist in budgeting and cost tracking for fleet operations
- Coordinate with internal departments regarding fleet requirements
- Additional Duties
- Support the implementation of fleet management systems or tools
- Assist in vendor accreditation and evaluation
- Perform other related tasks as assigned by management
Qualifications
- Bachelor's degree in Business Administration, Operations Management, or a related field
- At least 1-2 years of experience in fleet management or administrative roles (preferred)
- Strong organizational and documentation skills
- Proficiency in Microsoft Office (Excel, Word)
- Good communication and coordination skills
- Ability to multitask and work under pressure
