Job Description

The Financial Reporting and Compliance Specialist is responsible for ensuring the accuracy, timeliness, and regulatory compliance of financial reports. The role requires monitoring financial transactions, preparing reports, and ensuring compliance with the organization's internal policies, government regulations, and donor requirements.

The officer plays a key role in maintaining financial transparency, supporting informed decision-making, and ensuring alignment with the organization's mission, vision, and core values.

A. Full List of Task and Responsibilities

1. Financial Reporting, Analysis & Statement Preparation

  • Prepare and submit monthly, quarterly, and annual financial reports with 100% accuracy.
  • Ensure financial statements comply with IFRS, GAAP, and government standards.
  • Conduct variance analysis to assess budget performance and provide recommendations.

2. Regulatory, Donor Compliance & Monitoring

  • Ensure 100% compliance with BIR, SEC, and donor financial requirements.
  • Maintain accurate documentation for audits and compliance reviews.
  • Regularly update policies to align with LoveYourself finance procedures and regulatory changes.

3. Financial Controls & Risk Management

  • Implement internal financial controls to prevent fraud, misreporting, and financial risks.
  • Conduct periodic reconciliation of financial records to ensure data integrity.
  • Coordinate with auditors and assist in internal and external audits.

4. Financial Support for UNAIDS Goals

  • Track and report financial allocation for HIV-related programs and UNAIDS 95-95-95 goals.
  • Ensure 100% of donor and grant funds are properly accounted for.
  • Develop financial reports that support sustainability and funding strategies.

5. Digital Optimization & Process Improvement

  • Implement at least one automation tool per year to enhance financial reporting efficiency.
  • Reduce manual errors by at least 10% annually through improved reporting processes.
  • Ensure the financial reporting system is secure, up-to-date, and compliant with regulations.

6. Stakeholder Communication & Financial Literacy

  • Maintain open financial communication with program heads and donors.
  • Conduct at least two financial literacy sessions per year for internal stakeholders.
  • Ensure financial reports are accessible, understandable, and transparent.

B. Competencies & Qualifications

  • Bachelor's Degree in Accountancy, Accounting Technology, BSBA Financial Management, and/or related field.
  • Preferably with a minimum of three (3) to five (5) years of relevant working experience, specifically in relation to financial reporting, compliance, audit, and/or external grants management.
  • Background/experience in LGBTQI+/HIV program is an advantage but not required; an experience in clinical trials, and HIV care.
  • Background/experience in non-profit, donor-funded, and/or developmental sector organizations is highly preferred.
  • Background or familiarity with The Global Funds, USAID, FHI 360, WHO, and other donor compliance requirements is an advantage.
  • Preferably living in or near Shaw Boulevard, Mandaluyong City
  • Can work with minimal supervision, highly trainable, detail-oriented, resourceful, can work well within a team, proactive, open to constructive feedback, and gender-sensitive.
  • Proficient in oral and written English business communication; operation of computer and other ICT equipment; familiarity with network, systems or software maintenance; knowledge in the use of Google Workspace, and other project management tools.
  • Advanced proficiency in the applications of Microsoft 365, Power BI or reporting tools, QuickBooks Online and Desktop version.
