Job Description
The Financial Project Management Office (FPMO) is a new shared-services capability responsible for executing Harris commercial governance framework across the project lifecycle. Working in partnership with the Commercial Project Management Office (CPMO), Finance, Procurement, Project Orchestration and Delivery teams, the FPMO will provide consistent commercial controls, financial project administration and operational oversight across a high-volume portfolio of research projects.
As a Financial Project Coordinator, you will support the FPMO Program Lead by delivering the day-to-day commercial and financial administration that keeps projects moving. You will maintain accurate project records, coordinate contracts and purchase orders, support billing and vendor processes, monitor outstanding actions and escalate issues when required. This is a hands-on role for someone who is organised, detail-oriented and interested in building a career in commercial operations within an evolving shared-services environment.
WHAT YOU'LL DO
Deliver Day-to-Day FPMO Operations
- Manage assigned commercial and financial administration activities across a portfolio of research projects.
- Work with the FPMO Program Lead to apply and help develop practical procedures, checklists and service routines as the function grows.
- Maintain complete and current project records, trackers and supporting documentation.
- Coordinate with Finance, Procurement, Project Orchestration, Delivery and Research teams to follow up on required information and actions.
- Support the FPMO Program Lead with workload visibility, issue tracking and operational reporting.
Project Commercial Administration
- Support project setup by confirming that required documentation, approvals, commercial assumptions, billing details and vendor information have been provided.
- Maintain project-level commercial information, including budget status, billing progress, purchase orders, vendor commitments, scope changes and outstanding actions.
- Identify missing, inconsistent or incomplete information and work with project owners to resolve it.
- Prepare clear project status updates and financial snapshots using approved templates and reporting tools.
Contract and Procurement Coordination
- Coordinate the administration and filing of client and vendor contracts, statements of work and related project documentation.
- Check legal entities, billing schedules, payment terms, templates, approval routing and authorized signatories against current Harris requirements, and flag gaps or unclear areas to the FPMO Program Lead.
- Support purchase order creation, vendor onboarding, invoice review and payment follow-up in partnership with Procurement, Finance and project owners.
- Use approved tools, including AI-assisted comparison where appropriate, to support version review and flag deviations for escalation; the role does not provide legal advice or replace formal Legal approval.
Billing, Cost Tracking and Project Closeout
- Maintain billing schedules and support the preparation and tracking of client invoice requests.
- Track actual and committed project costs, vendor invoices and other required financial information against approved budgets.
- Follow up on unbilled revenue, missing purchase orders, outstanding invoices, unresolved costs and incomplete documentation.
- Complete project closeout checks and confirm that required billing, vendor and commercial actions have been addressed before closure.
Controls, Data Quality and Escalation
- Complete required checks and route predefined approvals in line with current guidance, controls and delegated authority, escalating where the process or requirements are still being defined.
- Maintain clear audit trails and handle sensitive commercial and financial information accurately and confidentially.
- Escalate exceptions, risks and requests outside agreed procedures or commercial parameters to the FPMO Program Lead.
Continuous Improvement and Systems Adoption
- Use Workfront, Maconomy, Salesforce, Excel and other approved systems and trackers consistently and accurately.
- Support the transition from manual trackers to more integrated workflows as systems and processes mature.
- Identify recurring issues, unnecessary manual steps and opportunities to make processes clearer or more efficient.
- Contribute to the development and refinement of procedures, user testing, training materials and the adoption of new automation or AI-enabled tools.
WHAT YOU'LL NEED
Experience
- Bachelor's degree in Business, Finance, Operations or a related discipline, or equivalent relevant professional experience.
- 3–5 years experience in commercial administration, finance operations, shared services, client finance, project support or a similar operational environment.
- Hands-on experience with some combination of billing, purchase orders, vendor invoices, budget tracking, project records or financial administration.
- Experience supporting multiple projects or stakeholders in a fast-paced, service-oriented environment.
- Exposure to contracts, statements of work, procurement processes or project closeout is advantageous but not essential.
Technical Skills
- Strong Microsoft Excel skills and confidence working with trackers, reports and detailed project information.
- Experience using ERP, financial, CRM or workflow management systems. Experience with Maconomy, Workfront or Salesforce is advantageous but not essential.
- Clear written and verbal communication skills, with the ability to follow up professionally and explain issues accurately.
- Comfortable learning new systems, processes and technology-enabled ways of working.
