WE ARE LOOKING FOR .....The FPCMO Assistant is in-charge of handling the month-end closing activities of the company in terms of the GOE and the Sales Acquisition costs as well as assist the FPCMO Manager on the budget preparation, providing budget notation and submission of various reports.
Roles and Responsibilities:
Corporate Credit Card liquidation (30%) On a daily basis, the corporate credit cardholders submit their liquidation documents to Finance. The Assistant then proceeds with the spot checking of documents and returns it to the cardholder right away if either the documents are not complete or there is an error in the filing (i.e. incorrect expense code used). There are 30 filings per day or about 600 per month. Perform another review of the liquidation documents on hand and in the Concur system. This review is based on the allowable limits as defined in the Travel and Entertainment policy as well as the agreed internal limits provided by the Manager and the Head. If there are errors in the filing, the Assistant sends back the documents to the cardholder. Seek the approval of the Manager and the Head and after which forwards the documents to PAL- Accounts Payable team for processing. For the cardholders who have not liquidated on the set due date, this will be subject to salary deduction. The Assistant then provides the list to the Manager for review and endorsement to the Head as final approver.
Corporate Credit Card Payment (30%)
Extract in the EDOL system the credit card billings due for payment. There are 150 cardholders as of to date with potential to increase more in the coming months. Go over each credit card billing as it may contain erroneous entries and if so the Assistant then emails BPI cards for it to be investigated. Based on experience, this step is critical as it may contain penalty charges which need to be further verified. Prepare the list of Corporate credit cardholders with the corresponding billing due and the payment request. Forward the documents to the Manager for review and endorsement to the Head as final approver.
Reimbursements and Cash Advance liquidation (30%) Apart from the liquidation, the Assistant also receives Reimbursement or Cash Advance liquidation documents from the departments. This averages about 10 documents per day on top of the liquidation. Similar to the corporate credit card liquidation, the Assistant also does spot checking on the documents. Perform review on the documents on hand. This review is based on the allowable limits as defined in the Travel and Entertainment policy as well as the agreed internal limits provided by the Manager and the Head. If there are errors in the filing, the Assistant sends back the documents to the employee. Forward the documents to the Manager for review and endorsement to the Head as final approver.
New Cardholders (10%) Upon receipt of the email request from the Heads or Manager, the Assistant makes a summary of the list of employees due to be given a corporate credit card. Seeks the approval of the Head who then endorses it to the CFO as final approver With the approval of the CFO, the Assistant then provides the employee with the enrollment forms. On the accomplished forms, the Assistant reviews it and forwards to BPI Cards.
Minimum Job Requirements:
  • Bachelor's degree - Graduate of any business-related course with a good scholastic background
  • Can be a Fresh Graduate but much better if with at least 1 year work experience.
  • Excellent interpersonal and communication skills (oral and written)
  • Good attendance record and complies with Company policies.
  • Computer savvy - knowledgeable in Microsoft office applications
