What We're Looking For
Essential
- Minimum 3+ years experience in an AU Financial Planning Admin
- Strong understanding of SOA workflows, reviews, implementation, and compliance
- Proficient in Microsoft Outlook, Excel, Word, and Copilot
- Strong communication, research, and documentation skills
- Ability to self‑manage, take initiative, and drive outcomes
- Comfortable multitasking, adapting to changing priorities, and working in a fast‑paced environment
Highly Regarded
- Experience with common AU planning tools and CRMs
- Previous experience supporting advisers or a growing practice
- Familiarity with ongoing service agreements and review cycles

Key Responsibilities
Adviser & Client Support
- Provide day‑to‑day administrative support to Financial Advisers
- Manage client onboarding, review preparation, and follow‑ups
- Coordinate and track tasks across advice, implementation, and reviews
- Handle post‑SOA tasks including implementation tracking and follow‑ups
- Ensure advice documentation is complete, accurate, and ready for adviser review
Implementation & Reviews
- Manage implementation of advice recommendations (super, investments, insurance, etc.)
- Liaise with product providers and platforms as required
- Support annual and ongoing review cycles, including data updates and documentation
- Maintain accurate records in CRM and document management systems
- Conduct product provider research and follow-ups to support strategy preparation
- Track outstanding implementation items through to completion
General Admin & Workflow Management
- Maintain organized, audit-ready client files and documentation
- Schedule and coordinate client appointments
- Proactively track and follow up on outstanding items
- Support continuous improvement of admin processes and templates
- Deliver proactive and professional client service
- Support ad-hoc administrative tasks and internal team initiatives
- Contribute to process improvements and projects that support team scalability
