The Financial Analyst is responsible for preparing accurate financial records, supporting the closing process, and ensuring completeness and consistency of financial data across sales channels, inventory, expenses and payables.
This role acts as the primary preparer and coordinator of financial information, ensuring that financial data from e-commerce platforms, offline sales, and operations are properly recorded, reconciled, and aligned with accounting records.
The role supports the Controller in strengthening financial controls, improving visibility on margins and cash flow, and enabling reliable decision-making in a high-volume, transaction-driven environment.
Key Responsibilities
1. Books of Accounts & General Ledger
- Maintain and update the general ledger for all transactions across:
- e-commerce platforms (Shopee, Lazada, TikTok, etc.)
- offline / distributor sales
- operational expenses
- Prepare journal entries and adjustments
- Ensure completeness and accuracy of financial records
2. Account Reconciliation
- Prepare reconciliations for:
- bank accounts
- platform settlements (e.g., Shopee/Lazada/TikTok payouts)
- receivables and collections
- payables
- inventory and cost of goods sold
- revenue and expenses
- Identify discrepancies such as:
- uncollected sales
- platform deductions (fees, ads, commissions)
- inventory variances
- Coordinate resolution with relevant teams
3. Financial Control & Data Validation Support
- Review and consolidate data from:
- Revenue team (sales, promotions, collections)
- Inventory team (stock movement, warehouse reports)
- AP (supplier payments and expenses)
- Ensure alignment between:
- sales reports vs collections
- inventory movement vs cost recognition
- expenses vs supporting documents
- Prepare clean, validated data for Controller review
4. Financial Reporting & Close Support
- Prepare monthly financial statements (IS, BS, CF) for review
- Support month-end and year-end closing
- Ensure proper cut-off of:
- sales (platform vs actual collection timing)
- inventory (inbound/outbound movements)
- expenses
- Coordinate closely with Revenue, AP, and Supply Chain teams
5. Cash Position & Cash Flow Reporting
- Monitor actual cash balances across all bank accounts
- Track platform remittances and timing of collections
- Prepare cash position and cash flow reports
- Reconcile:
- expected inflows (from Revenue)
- actual collections
- outgoing payments (from AP)
- Highlight liquidity gaps, delays in collections, or unusual cash movements
6. Inventory & Cost Coordination
- Monitor inventory levels against sales trends and operational needs
- Assist in reconciling:
- warehouse stock vs system vs accounting records
- Support tracking of:
- cost of goods sold
- landed cost (if applicable)
- product margins
- Flag:
- slow-moving items
- shrinkage or discrepancies
- abnormal cost movements
7. Budgeting & Forecasting Support
- Assist in preparation of:
- annual and monthly budgets
- financial forecasts
- Track actual vs budget for:
- sales
- cost of goods sold
- operating expenses (ads, logistics, etc.)
- Analyze variances and highlight key drivers
- Support recommendations for cost control and efficiency
8. Management Reporting & Data Analysis
- Prepare financial summaries and management reports
- Analyze trends in:
- sales by channel (online vs offline)
- margins
- operating expenses
- Provide insights on:
- profitability per channel
- cost drivers (ads, logistics, promotions)
- Support development of dashboards and reporting tools
9. Coordination & Data Alignment
- Coordinate with:
- Revenue & Commercial team
- Supply Chain / Procurement
- Accounts Payable
- Warehouse / Operations
- Ensure financial data is aligned with operational activities
- Support resolution of mismatches between:
- sales vs inventory
- inventory vs cost
- revenue vs cash
10. Supervision & Task Coordination
- Supervise and guide Accounting Assistant(s), if assigned
- Ensure timely and accurate completion of accounting tasks
- Support discipline in reporting and documentation
11. Compliance, Documentation & Audit Support
- Ensure all financial records are accurate, complete, and properly documented
- Maintain audit-ready schedules and supporting files
- Support internal and external audits
- Ensure compliance with accounting standards and company policies
12. Other Duties
- Perform other finance and accounting-related tasks as assigned by the Controller
Qualifications
- Bachelor's degree in Accountancy (CPA preferred)
- 3–5+ years of experience in accounting or financial reporting
- Experience in retail, FMCG, or e-commerce is highly preferred
- Familiarity with high-volume transactions and inventory-based businesses
