Your Role

As an Finance Operations Specialist , you will:

  • Manage technician dispatch in Fieldwork software by assigning service requests based on availability and proximity, creating work orders, and tracking completions.
  • Coordinate weekly QuickBooks data entry, including pulling bank transactions, coding expenses, and transitioning business records from spreadsheets to full QuickBooks.
  • Maintain a master account spreadsheet to track completed services and monitor complex bait box rotation schedules across large properties.
  • Communicate directly with property managers and customers to handle inbound service requests via email and coordinate follow-up inspections.
  • Ensure quality assurance by tracking service reports to meet the 15-minute post-completion delivery commitment and monitoring KPI reduction targets.
  • Monitor financial commitments, such as the 10% annual savings target per property, by logging proactive services and value-add work.
  • Support broad operational tasks, including fleet maintenance flagging, HR communication coordination, and sales operations lead tracking.

What You Need

Non-negotiables

  • Minimum 3 years of experience in a remote administrative or virtual assistant role.
  • Hands-on proficiency in QuickBooks Online with the ability to code and reconcile accounts independently.
  • Strong written and spoken English for direct communication with property managers and customers.
  • Proficiency with Google Workspace and Microsoft Excel or Google Sheets.
  • A reliable home office setup with a stable internet connection.
  • The ability to manage multiple open task lists and hit deadlines without constant supervision.

Preferred Skills/expertise/experience

  • Experience with Fieldwork or similar field service dispatch and scheduling platforms.
  • Prior experience supporting a service-based small business owner.
  • Background in property management, pest control, or field service dispatching.
