About the Role

The Finance Operations Specialist is a hybrid financial and operational role that combines AR/AP responsibilities with warehouse and inventory reconciliations. The role focuses on data entry, invoice tracking, purchase order processing, and financial accuracy, while supporting month-end and year-end reconciliations. The position heavily uses QuickBooks Online and Excel, and is suited for someone detail-oriented, analytical, and process-driven, with the potential to expand into broader controller-level responsibilities over time.

Key Responsibilities

  • Track and process invoices from warehouses in QuickBooks Online.
  • Enter purchase orders and maintain accurate inventory records in Excel.
  • Manage accounts receivable and accounts payable activities, ensuring invoices and payments are accurate and timely.
  • Reconcile warehouse transactions, inventory-related financial entries, and assist with year-end reconciliations.
  • Ensure financial data accuracy, including unit conversions (metric tons, pounds) and GL coding.
  • Maintain financial records and assist with month-end reporting.
  • Support compliance, documentation, and filing requirements.
  • Collaborate with cross-functional teams to improve finance operations and workflow efficiency.
  • Identify opportunities for process improvement and automation where possible.

Competencies and Qualifications

Must-Have

  • Proficiency in QuickBooks Online.
  • Strong Excel skills (pivot tables, VLOOKUPs, data tracking, unit conversions).
  • Accounts receivable and accounts payable experience.
  • Experience with warehouse/inventory reconciliation.
  • Knowledge of basic accounting principles and procedures.
  • Attention to detail and strong organizational skills.
  • Experience with Microsoft 365 tools (Word, Excel, Teams, Outlook).
  • Strong analytical and communication skills for cross-team collaboration.

Nice-to-Have

  • Experience in a chemical, industrial, or manufacturing environment.
  • Exposure to controller-level or operational finance tasks.
  • Process improvement or workflow optimization experience.
