Job Description

The snapshot

Staffstream is hiring a Finance Officer for a growing Australian facilities services business. They manage large-scale cleaning, hygiene, and building maintenance contracts for commercial and industrial clients, and this role is a core part of the finance team, making sure the group's financial affairs are properly controlled, accurately reported, and compliant with Australian statutory requirements. 


The Finance Officer runs the day to day finance function, reporting to the Head of Finance.  The role covers end to end accounts payable, subcontractor finance administration, general finance administration, and preparation of the monthly profit and loss.


 


What you will actually do

Accounts Payable 



  •  Assist with preparing monthly management accounts for distribution to management on a timely basis, including Profit and Loss Statements, Balance Sheets, and Debtor and Creditor Reports on a company and divisional basis.

  • Process high volume supplier and subcontractor invoices across multiple sites and cost centres.

  • Match invoices to purchase orders, service schedules and approved rate cards before payment.

  • Prepare and run payment batches in line with agreed terms.

  • Reconcile supplier statements, chase missing invoices and credits, and resolve disputes directly with suppliers.

  • Maintain the creditors ledger and aged payables reporting 



Subcontractor Finance Administration



  • Set up new subcontractors: ABN and GST checks, bank detail verification, rate card and contract details in the system.

  • Maintain the subcontractor compliance register covering insurances, licences and certificates, and track expiry dates.

  • Hold payment where documentation has lapsed, and follow up until it is current.

  • Reconcile subcontractor claims against site service schedules and approved variations before releasing for payment.

  • Track retentions and back charges, and keep audit ready documentation for each 
    engagement. 



Finance Administration 



  •  Complete bank and credit card reconciliations.

  • Process journals, prepayments and accruals for month end.

  • Maintain approvals, documentation, digital filing and clean audit trails.

  • Prepare supporting schedules for BAS, IAS, payroll tax and superannuation. 


Profit & Loss and Reporting 


  • Prepare the monthly profit and loss with correct cut off and cost allocation.

  • Report profitability at contract, site and division level covering labour, subcontractor spend and consumables.

  • Produce budget versus actual variance analysis with brief written commentary on what is driving the movement.

  • Flag margin erosion, cost overruns and unbilled work early. 



 

What you need to bring

  • Degree in Accounting, Finance or Commerce.

  • Proven accounting experience, including end to end ownership of accounts payable in a high volume, multi site environment.

  • Experience preparing a monthly profit and loss and explaining the variances behind it.

  • Working knowledge of Australian GST, BAS, PAYG and superannuation.

  • Advanced Excel  


 

Nice to have

  • Experience with Infoware, or a comparable industry-specific finance or operations platform, is preferred but not essential.
