Summary/Objective:

The Finance and Accounting Manager plays a critical role in the financial health of the organization. This position is responsible for managing the daily accounting and financial activities, ensuring accurate financial reporting, and compliance with all applicable regulations. The Finance and Accounting Manager will directly supervise Finance & Accounting Officers/Supervisors, work closely with other departments, and assist the Head of Legal, Finance, and Accounting with various accounting and tax compliance matters.

Essential Functions:

A. Accounting

  • Daily Accounting Operations:

· Accounts Receivable:

o Review and approve invoices.

o Reconcile invoices with monthly budgets.

o Review and verify reports and schedules related to accounts receivable.

o Monitor collections and AR turnover

o Monitor and follow up on 2307s (tax forms).

· Disbursements:

o Verify the accuracy and completeness of reimbursement, allowance, and payment request forms.

o Verify expense account codes and budgets.

o Process documents in QuickBooks.

o Review manual checks and ORs (Official Receipts).

o Prepare fund transfers in bank facilities.

o Prepare requests for manager's checks.

o Review 2307s.

o Prepare alpha lists for payments for BIR VAT and expanded withholding tax purposes.

· General Accounting:

o Perform bank reconciliations.

o Reconcile accounts (AR/AP).

o Prepare aging schedules.

o Prepare supporting schedules for lapsing schedules.

o Record adjusting and other closing entries.

o Review schedules and journal entries.

o Oversee recording of monthly closing entries.

  • Monthly Book of Accounts:
  • Prepare and provide a monthly book of accounts, ensuring that:
  • Assets are completely and properly documented and recorded.
  • Liabilities are completely and properly documented and recorded.
  • Transactions are verifiable and completely captured.
  • The book of accounts, subsidiary ledgers, vouchers, invoices, and supporting schedules are complete, updated, and available.
  • Organize and maintain proper accounting records.
  • External Coordination:
  • Assist the Finance, Accounting & Legal Head in coordinating with external parties (e.g., banks, suppliers) for financial reporting.
  • Reporting:
  • With the Finance, Accounting & Legal Head, prepare and maintain monthly, quarterly, and annual reports, including:
  • Aged receivables and payables statements.
  • Income statements (monthly and YTD).
  • Breakdown of revenue and direct cost per project.
  • Cash flow statements.
  • Other financial reports as required.
  • Finance, Accounting & Legal Head Support:
  • Comply with accounting controls and policies.
  • Coordinate with external auditors.
  • Secure financial information through database backups.
  • Maintain financial security by following internal control policies.
  • Maintain confidentiality of financial and client information.

B. Finance

  • Financial Planning & Analysis:
  • Develop and manage the annual budget, including forecasting revenue and expenses.
  • Create financial models to support business decisions, such as investment analysis, pricing strategies, and new product development.
  • Analyze actual results against budget and forecast, and identify key drivers of variances.
  • Prepare regular financial reports for management, including key performance indicators (KPIs) and dashboards.
  • Financial Planning & Analysis:
  • Develop and manage the annual budget, including forecasting revenue and expenses.
  • Create financial models to support business decisions, such as investment analysis, pricing strategies, and new product development.
  • Analyze actual results against budget and forecast, and identify key drivers of variances.
  • Prepare regular financial reports for management, including key performance indicators (KPIs) and dashboards.
  • Strategic Finance:
  • Develop and implement long-term financial strategies to support the organization's goals.
  • Provide financial analysis and due diligence for potential M&A transactions.
  • Assist in securing funding for the organization through debt or equity financing.

C. Tax Compliance

  • Tax and Regulatory Compliance:
  • Assist the Finance, Accounting & Legal Head with compliance requirements of various government agencies, including the Bureau of Internal Revenue (BIR), Security and Exchange Commission (SEC), local government units (LGUs), and ISO accreditation.

D. Other Responsibilities

o Supervise and mentor Finance & Accounting Officers/Supervisors.

o Assist in the development and implementation of financial policies and procedures.

o Identify and implement process improvements within the FAL department.

o Stay current on accounting standards and regulations.

o Perform other duties as assigned by the Head of Finance, Accounting and Legal Department.

Qualifications:

  • Bachelor's degree in Accounting or related field.
  • CPA license is required.
  • Minimum of 5 years of experience in accounting and finance, with at least 2 years in a managerial role.
  • Strong knowledge of accounting principles and practices.
  • Experience with QuickBooks or other accounting software.
  • Excellent communication, interpersonal, and organizational skills.
