TheFinance and Accounting Manageris responsible in the preparation of financial statements and accounting information on a timely basis to aid management in making a sound business decision and oversees the daily accounting operations of the department.
A.STATEMENT OF DUTIES
Manage the Accounts Receivable (AR) to ensure that commitments and job expectations are delivered timely and accurately and in accordance with company policies and internal control procedures.
- Approve billings of customers ensuring completeness of attachments and accuracy of rates applied
- Coordinate with OPS and other Outstations to resolve billing issues
- Helps in monitoring AR and timely collection of overdue. Assists staff in following up clients especially those with overdue
- Attend to customer inquiries/issues and ensure resolution on customer concerns.
Manage the Accounts Payable (AP) team to ensure that commitments and job expectations are delivered timely and accurately and in accordance with company policies and internal control procedures.
- Validates correctness of Cheque issued
- Validates completeness of attached documents
- Ensures timely payment of payables
- Approves Check payment for release
- Validates petty cash expenses
Prepares Bank Reconciliation
- Daily updating of Bank Reconciliation
- Ensure cash and cheque collections are deposited timely
- Ensure bank transactions are valid
- Monitors direct deposit and ensure that it is properly accounted
- Prepares journal entries when necessary
- Submission of Bank Reconciliation, Bank Statements and Cash Flow to Aqubic
Prepares Daily Cash Flows
- Prepares daily cash flows
- Submits weekly Cash Flow report to CEO
BIR Reporting
- Endorses to Aqubic the monthly withholding taxes for BIR reporting 1601C/0619E
- Endorses to Aqubic the Summary Alphalist of Withholding Tax on a quarterly basis
- Reviews monthly BIR reports as submitted by Aqubic
- Reviews Quarterly Income Tax Return as prepared by Aqubic 1701q
- Review yearly Income Tax Return
- Review yearly Employee ITR/BIR form 2316 as reported by Aqubic
- Review/Assist yearly audit
- Resolves BIR Open Cases
Monthly Closing
- Review Monthly Cargo Sales Report and ensure completeness of data
- Review of In-house collections/CERRO Collection
- Review Monthly Income Statement Report for all stations
- Review Monthly P&L report submitted by Aqubic
- Review Expense report for all stations
- Prepares Slides for Monthly Performance Review
Review Payroll and Government Reports
- Review bi-monthly payroll file ensuring correctness of computed salaries & wages including benefits & statutory deductions
- Approve release of payment for salaries and wages of employees
- Review and approve payment remittance of Statutory contributions and loan payment SSS/PHIC/HDMF
- Review yearly 13th month pay
- Review and approve proposal in salary increment ensuring it is within the budget (as needed)
Asset Management
- Approves/Validates of Capital Purchases and ensure costs within the budget
- Review Asset tagging of Asset Purchased
- Ensures proper recording of purchased asset for lapsing
Budget
- Prepares Annual Company Budget
- Assist all department on preparation of yearly budget
- Active participation on yearly Strategic Planning to be incorporated in the budget
Other reports
- Review weekly Bollore Reports for submission to client
- Check rates applied based on signed agreement
Vendor Management
- Check Vendor Profile and its legitimacy
- Check Rates provided and terms and conditions
Review of Sales Commissions
Supervise and provide on the job training to staff
Review and Recommends Permanent Credit Line of Customers
Prepare Business Correspondence
Other tasks
- Attend to Departmental issues and concerns
- Attend meetings with clients/vendors
- Attend weekly mancom meetings as well as inter-departmental meetings
- Send weekly Sales Report for updating in Trello
- Daily email/GC communication
- Prepare other requested reports
