Job Summary
We are looking for a detail-oriented and proactive Finance and Admin Executive to support our day-to-day financial operations and administrative functions. This role plays a key part in ensuring smooth internal processes, accurate financial reporting, and efficient office management to support the company's overall growth.
Responsibilities:
1. Financial Operations & Xero Management
- Sales Cycle: Generate professional quotations, tax invoices, and credit notes within Xero.
- Purchasing & Payables: Process vendor invoices, match them against Purchase Orders (POs), and prepare payment batches for management approval.
- Bookkeeping Support: Perform digital sorting and preparation of receipts/invoices; ensure all data entry is accurate for our external accounting firm.
- Liaison: Act as the internal bridge between the company and our external bookkeeping firm to ensure timely monthly closings.
2. Financial Analysis & Management Reporting
- Data Analysis: Utilize Advanced Excel to analyze business growth, project profitability, and departmental spending.
- Presentation: Design and generate professional PowerPoint decks for monthly management meetings, visualizing financial trends and business KPIs.
- Growth Tracking: Monitor and report on Year-on-Year (YoY) and Month-on-Month (MoM) performance.
3. General Administration & HR Duties
- Correspondence: Manage professional email communication and handle the sorting/filing of digital documents.
- Meeting Coordination: Organize online meetings and coordinate facility bookings or internal schedules as required.
- HR Support: Assist with basic HR administrative tasks, such as maintaining employee records and supporting payroll data preparation.
- Ad-hoc Support: Perform other administrative duties as assigned by the Singapore leadership team.
Qualifications:
- Diploma or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
- 1-2 years of experience in finance, accounting, or administrative roles.
- Proficiency in Xero or similar accounting software is preferred.
- Strong working knowledge of Microsoft Excel (e.g., formulas, pivot tables) and PowerPoint for reporting and presentations.
- Basic understanding of financial processes, including invoicing, accounts payable/receivable, and bookkeeping practices.
- Strong attention to detail with good organisational and time management skills.
- Ability to handle sensitive information with confidentiality and professionalism.
- Good communication skills, with the ability to liaise with internal teams and external vendors.
- Proactive, reliable, and able to multitask in a fast-paced environment.
