Job Summary
The FF&E Manager reports directly to the Asset General Manager and is responsible for the strategic and operational management of the organization's Furniture, Fixtures, and Equipment (FF&E) portfolio. The role oversees the effective control, tracking, maintenance, and lifecycle management of assets to ensure operational efficiency, financial accountability, and compliance with company policies and standards. It manages inventory control, asset audits, transfers, disposals, storage, and documentation to maintain accurate records and maximize asset value throughout their lifecycle.
Key Responsibilities
FF&E Management
- Maintain accurate FF&E inventories, asset tagging, and asset registers.
- Conduct regular asset audits, condition assessments, and inventory reconciliations.
- Prepare FF&E catalogs, schedules, and lifecycle plans to support replacement and capital planning.
Financial & Contract Management
- Prepare and manage annual OPEX budgets, monitor expenditures, and report budget variances.
- Review financial data and provide recommendations to support planning and cost optimization.
- Manage procurement activities, including vendor sourcing, bid evaluations, and contract administration.
Compliance & Stakeholder Management
- Ensure compliance with company policies, regulatory requirements, and asset management standards.
- Support internal and external audits through accurate records and documentation.
- Liaise with Operations, Finance, Procurement, Facilities, and vendors to ensure seamless service delivery.
Job Qualifications
- Bachelor's Degree in Business Administration, Real Estate Management, Engineering, Finance, Supply Chain Management, or a related field.
- Professional certification in Facilities Management, Asset Management, Procurement, or Project Management is an advantage.
- 3–5 years of experience in Facilities Management, Asset Management, Property Management, Workplace Services, or a related function.
- Experience in FF&E inventory management, asset lifecycle planning, asset audits, and compliance.
- Experience in budgeting, OPEX management, procurement, vendor management, and contract administration.
- Proficiency in Microsoft Office applications, particularly Excel and PowerPoint, with knowledge of asset management systems.
- Strong analytical, organizational, communication, stakeholder management, and problem-solving skills.
- Ability to manage multiple priorities, maintain accurate records, and drive continuous improvement initiatives.
- Willing to be assigned in Makati City.
