Property, Facilities & Compliance Coordinator (Operations & Compliance Support)

The Opportunity at a Glance

A growing Australian healthcare and disability services organisation is seeking a Property, Facilities & Compliance Coordinator to support compliance standards, property portfolio management, and workplace safety across multiple locations.

This organisation delivers therapy and rehabilitation services to individuals across Australia and operates numerous offices nationwide. As the business expands, maintaining strong compliance frameworks, safe working environments, and well-managed facilities is essential to supporting high-quality service delivery.

In this role, you will work closely with operations, compliance, and leadership teams to ensure the organisation meets regulatory requirements while coordinating property leases, office maintenance, and facilities management across the business.

How You'll Make an Impact

Compliance & Legislation

  • Support the compliance and facilities leadership team in ensuring the organization meets regulatory requirements
  • Assist in maintaining compliance with ISO9001, NDIS Quality and Safeguards Framework, National Standards for Disability Services, and WHS regulations
  • Help prepare documentation and plans for external compliance audits
  • Monitor lease and contractual compliance across the organization
  • Stay up to date with legislation affecting operations across multiple states

Work Health & Safety

  • Participate in monthly WHS meetings
  • Assist with identifying and reviewing workplace hazards
  • Support the implementation of corrective actions and risk mitigation
  • Maintain records of Fire Wardens and First Aid Representatives
  • Coordinate required WHS training

Property Management

  • Support management of the organization's property portfolio
  • Maintain relationships with landlords, vendors, and service providers
  • Assist with lease negotiations, renewals, and market rent reviews
  • Prepare property and facilities reports
  • Coordinate office fit-outs and workspace upgrades
  • Support sourcing of new office locations when required

Property Maintenance & Facilities

  • Coordinate building maintenance, repairs, and preventative maintenance schedules
  • Maintain property inspection schedules
  • Manage asset registers for office equipment and facilities
  • Support office construction, refurbishment, and fit-out projects
  • Ensure office environments meet organizational standards and branding guidelines

Operational Support

  • Assist leadership teams with compliance, facilities, and operational projects
  • Support documentation and reporting processes to improve operational consistency

What We're Looking For - You're the Perfect Fit if You:

(Non-negotiable requirements)

  • Are based in the Philippines
  • Have 3+ years experience in an administrative or operations coordination role
  • Have strong organizational and administrative skills
  • Have experience coordinating stakeholders, vendors, or service providers
  • Have excellent attention to detail and strong documentation skills
  • Are comfortable managing multiple operational priorities
  • Are a clear and professional communicator

What Sets You Apart - You'll Shine Even Brighter With:

  • Exposure to NDIS compliance frameworks
  • Experience supporting property management or facilities coordination
  • Experience assisting with WHS compliance activities
  • Exposure to lease management or office fit-out coordination
  • Experience supporting multi-site organizations

Work Schedule & Employment Terms

Full-Time | Monday to Friday | 6:00 AM - 3:00 PM PHT

Remote work setup. Must be willing to report onsite in BGC, Taguig once per month
