Job Summary
The Facilities Manager is responsible for overseeing the daily operations, maintenance, safety, and efficiency of company facilities. This role ensures the workplace environment is safe, compliant, cost-effective, and aligned with operational requirements. The Facilities Manager manages vendors, maintenance teams, space planning, and compliance with health and safety regulations.
Key Responsibilities
1. Facilities Operations & Maintenance
- Oversee building maintenance, repairs, and preventive maintenance programs
- Ensure all facilities systems (HVAC, electrical, plumbing, fire safety) are functioning properly
- Conduct regular inspections to maintain operational standards
- Manage office space planning and workstation allocation
2. Vendor & Contract Management
- Manage third-party vendors (security, cleaning, maintenance, pest control)
- Negotiate contracts and service-level agreements
- Monitor vendor performance and compliance
3. Health, Safety & Compliance
- Ensure compliance with local building codes and safety regulations
- Oversee fire safety systems and emergency preparedness plans
- Conduct safety audits and risk assessments
- Lead incident investigation and reporting
4. Budget & Cost Control
- Prepare and manage facilities budget
- Monitor expenses and implement cost-saving initiatives
- Track utilities usage and recommend efficiency improvements
5. Security & Business Continuity
- Oversee building security operations
- Maintain access control systems
- Develop business continuity and disaster recovery plans
6. Stakeholder Coordination
- Liaise with landlords and property management
- Coordinate with HR and IT for workplace requirements
- Support office expansions, renovations, or relocations
Qualifications
- Bachelor's degree in Engineering, Facilities Management, Business Administration, or related field
- 510 years of experience in facilities management or building operations
- Strong knowledge of building systems and safety regulations
- Experience managing vendors and budgets
- Excellent problem-solving and organizational skills
- Strong communication and leadership abilities
Preferred Qualifications
- Certified Facility Manager (CFM) or equivalent
- Knowledge of ISO standards (e.g., ISO 45001)
- Experience in BPO, shared services, or corporate office environment
