Facilities Management Assistant

Job Summary

Oversees the operation, maintenance, and repair of company buildings and facilities. Ensures facilities are safe, operational, and compliant with safety and environmental regulations. Manages contractors, monitors maintenance activities, oversees facility documentation, and supports inventory and administrative functions.

Minimum Qualifications

• Bachelor's degree in Engineering, Facilities Management, Property Management, or a related field.
• At least 3 years of experience in building or facilities management.
• Certified Safety Officer (BOSH) is required.
• Knowledge of OSH reporting and regulatory compliance.
• PCO certification is an advantage.
• Knowledge of building systems, preventive maintenance, and contractor management.
• Proficient in Microsoft Office.

Key Responsibilities

• Supervise the operation, maintenance, and repair of buildings and facilities.
• Coordinate with contractors and service providers for maintenance and repair works.
• Conduct regular facility inspections and submit inspection reports.
• Monitor maintenance requests and ensure timely completion.
• Verify maintenance service billings and proper cost allocation.
• Evaluate contractor performance and report issues.
• Oversee the processing of Materials Receiving Reports (MRR).
• Monitor the issuance of work and material/equipment gate passes.
• Assist in mid-year and year-end inventory of facilities and supplies.
• Prepare and submit required OSH reports.
• Ensure compliance with safety, environmental, waste disposal, and recycling regulations.
• Coordinate major repair and maintenance projects.
• Review maintenance contracts and lease agreements.
• Perform other duties related to facilities management as assigned.
