The Facilities & Administration Supervisor is responsible for overseeing daily office operations, facilities upkeep, and administrative services to ensure a safe, efficient, and well-managed workplace. The role focuses on workspace management, vendor coordination, and employee support, particularly in a fast-paced BPO environment.
Key Responsibilities:
Facilities Operations & Maintenance
- Oversee day-to-day operations, maintenance, and repairs of office facilities
- Ensure all building systems (HVAC, electrical, plumbing, etc.) are functioning properly
- Implement preventive maintenance schedules to minimize disruptions
- Conduct regular site inspections to ensure safety and operational standards are met
Workplace & Office Administration
- Manage office administration including supplies, asset tracking, and general services
- Oversee space planning, seating arrangements, and office setup to support operations
- Ensure workplace readiness for BPO operations (including shifting/24/7 teams)
- Coordinate office moves, expansions, and reconfigurations
- Maintain cleanliness, organization, and overall workplace experience
Vendor & Support Services Management
- Supervise third-party vendors (janitorial, security, maintenance, etc.)
- Ensure service delivery meets agreed SLAs
- Coordinate service requests and issue resolution in a timely manner
Health, Safety & Compliance
- Enforce workplace safety policies and procedures
- Ensure compliance with local regulations and building requirements
- Support emergency preparedness, fire drills, and safety audits
Administrative Coordination
- Act as point of contact with building administration for day-to-day concerns (e.g., access, utilities, scheduling)
- Support internal teams on facilities and administrative requirements
- Assist in documentation, reporting, and audit requirements
Budget & Cost Monitoring
- Track facilities and admin-related expenses
- Assist in cost control and identify efficiency opportunities
Team Supervision
- Supervise and coordinate housekeeping, maintenance, and admin support staff
- Monitor performance and ensure service standards are met
Qualifications:
- Bachelor's degree in any related field
- 35+ years experience in facilities and/or office administration, preferably in a BPO/shared services environment
- Experience handling day-to-day site operations and vendor coordination
- Exposure to building/property coordination is a plus (not required to be leasing-heavy)
