Job Description

The Fleet and Travel Officer works closely with operations and cross-functional teams to manage and support the company's fleet and corporate travel requirements. The role primarily ensures the availability, safety, compliance, and cost-efficient use of company vehicles and travel services, while maintaining accurate records and adhering to company policies and regulatory standards.
Key Responsibilities and Accountabilities
  • Manage and monitor fleet operations to ensure vehicle readiness, safety, cleanliness, and overall upkeep at all times.
  • Develop, implement, and oversee a preventive maintenance program for company vehicles, ensuring timely servicing, repairs, registration, and insurance renewals.
  • Track and monitor fleet-related KRAs and KPIs (e.g., vehicle utilization, maintenance costs, fuel consumption) and submit regular reports to the Admin or Operations Manager.
  • Conduct regular physical inspections of company vehicles to ensure compliance with safety standards and company policies.
  • Coordinate with drivers, service providers, and vendors regarding vehicle assignments, schedules, repairs, and maintenance requirements.
  • Supervise and monitor fleet-related personnel or drivers, including attendance, timekeeping, performance, and compliance with driving and safety protocols.
  • Ensure adherence to company policies on vehicle usage, fuel management, and travel expenses.
  • Handle travel coordination and logistics, including booking of flights, accommodations, and ground transportation for employees, ensuring cost efficiency and compliance with travel policies.
  • Review, validate, and update fleet and travel expense trackers and ensure proper documentation and approvals are in place.
  • Manage and monitor contracts with third-party fleet, fuel, and travel vendors conduct vendor performance evaluations and cost-benefit analyses.
  • Address and follow up on fleet- and travel-related concerns, requests, or complaints raised by employees or end-users.
  • Ensure proper asset management, record keeping, and tracking of all fleet assets, including vehicles, accessories, and related documents (e.g., OR/CR, insurance, gate passes, and permits).
  • Prepare and analyze monthly fleet and travel reports, including utilization, expenses, maintenance schedules, and compliance status.
  • Respond promptly and appropriately to emergencies or urgent fleet and travel issues as they arise.
  • Support sustainability initiatives by promoting efficient fuel usage, route optimization, and environmentally responsible travel practices.
  • Assist in coordinating with government agencies (e.g., LTO, LGUs, PEZA) to ensure compliance with statutory and regulatory requirements related to fleet and travel operations.
  • Perform other fleet- and travel-related tasks as assigned by the Admin or Operations Manager.
