The Qualifications We Seek
- Graduate of Hospitality Management, Business Administration, Tourism, Logistics, or a related field
- At least 1 year of relevant experience in facilities, administration, logistics, or a similar role
- Experience in coordinating transportation services through Transportify, Grab, Lalamove, LBC, or similar providers
- Experience in coordinating travel arrangements, including flights, hotel accommodations, and transportation
- Excellent written and verbal English communication skills
- Proficiency in Microsoft Excel
- Strong administrative and coordination skills
- High level of accountability and flexibility
- Willingness to work night shifts, rotating schedules, weekends, and holidays
Your Daily Tasks
Front Desk Management
- Track and maintain visitor access records, including visitor log sheets and contact-tracing records, to support workplace security and safety.
- Monitor the corporate main entrance and reception area, greet guests, and direct visitors to the appropriate personnel.
- Respond to inquiries across multiple communication channels and maintain a clean, safe, and welcoming reception area.
- Address employee and client concerns related to facilities and administrative services.
Facilities Coordination and Management
- Maintain office, furniture, and pantry inventories.
- Coordinate conference and meeting room bookings and setups.
- Liaise with CXM, HRBP, Utilities and Maintenance staff, and Building Administrators.
- Support office moves, seating arrangements, and facility maintenance activities.
- Implement Health and Safety Protocols and maintain Safety Seal Certification.
Administrative
- Maintain organized departmental filing systems and records.
- Provide administrative support to Team Leaders (TL), CXM, and HRBP.
- Prepare and submit Petty Cash, Gift Certificates (GCs), Office Supply Requests, Inventory Reports, and monthly Facilities and Administration Monitoring Reports.
Logistics and Asset Management
- Coordinate the dispatch, delivery, and recovery of IT equipment with Recruitment, IT, and logistics providers.
- Ensure compliance with asset management policies and maintain accurate asset trackers.
- Prepare weekly dispatch, recovery, and cost reports.
Risk Management
- Identify workplace risks and hazards and escalate concerns to managers or security personnel as needed.
- Support the implementation of workplace risk management processes.
Vendor Management
- Liaise with utilities staff, building administrators, contractors, and suppliers.
- Coordinate maintenance, repair, sanitation, and other vendor services.
- Assist with vendor procurement activities.
- Support budget compliance and cost control initiatives.
Other Responsibilities
- Perform other administrative and non-administrative duties assigned by authorized company representatives.
