Job Description:
Project Coordination
- Support the coordination and execution of site-related projects and operational initiatives.
- Facilitate internal requests and ensure required documentation and approvals are processed in a timely manner.
- Coordinate with cross-functional teams to ensure project requirements are completed according to timelines.
Implementation and Installation Monitoring
- Monitor project implementation activities, including installation and setup of required site infrastructure.
- Coordinate with vendors and service providers to ensure deliverables are completed according to project scope and schedule.
- Track progress and escalate issues when necessary to ensure timely project completion.
System and Administrative Support
- Initiate system configuration and administrative setup required for new sites and operational activities.
- Ensure necessary codes, system records, and project data are properly created and maintained.
Contract and Documentation Management
- Support contract processing and coordinate with relevant teams for review and documentation requirements.
- Maintain organized records of contracts, invoices, and other project-related documents.
- Ensure all required documentation is properly uploaded and archived in company systems/ trackers.
Financial and Compliance Tracking
- Assist in tracking project-related expenses, purchase orders, and financial documentation.
- Monitor site-related payments such as rent and utilities to ensure timely processing.
- Support compliance requirements and documentation related to financial and vendor transactions.
Site and Operational Monitoring
- Track site readiness and post-project activities including restoration and operational requirements.
- Ensure proper coordination with vendors and internal teams for site-related activities.
Stakeholder Coordination
Communicate project updates and requirements to internal stakeholders.
Requirements:
- At least a Bachelor's Degree in Management, Communications, Operations Management, or equivalent
- At least 2 year of work experience in business development, project management, and/or sales
- A great track record of successful project management is required
- High proficiency in MS Office and G Suite, especially in MS Excel, Google Sheets, and Google Slides
- Outstanding critical thinking and interpersonal skills
- Strong communication skills in English and Filipino
- Capable of handling multiple tasks and working under pressure
- Required to travel locally
