About the Role
We are seeking a highly organized, proactive, and detail-oriented Executive Support Assistant to provide administrative and operational support to senior leadership. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling confidential information, and ensuring the smooth day-to-day operations of the executive office.
Key Responsibilities
- Manage and maintain executives calendars, appointments, and travel arrangements.
- Coordinate internal and external meetings, including scheduling, logistics, and meeting materials.
- Prepare reports, presentations, correspondence, and other business documents.
- Handle confidential and sensitive information with professionalism and discretion.
- Monitor and prioritize emails, calls, and other communications on behalf of executives.
- Organize and maintain filing systems, records, and documentation.
- Assist in preparing meeting agendas, taking minutes, and tracking action items.
- Coordinate with internal departments and external stakeholders as needed.
- Support special projects, events, and executive initiatives.
- Perform other administrative and operational duties as assigned.
Qualifications
- Bachelor's degree in Business Administration, Management, Communications, Psychology, or a related field.
- At least 2 years of experience in executive assistance, administrative support, office management, or a similar role.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- High level of professionalism and confidentiality.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Preferred Qualifications
- Experience supporting senior executives or leadership teams.
- Experience coordinating events, travel arrangements, and stakeholder engagements.
- Familiarity with project coordination and document management systems.
- Exposure to HR, finance, or operations support functions is an advantage
