Role Description

The position is primarily responsible for providing secretarial functions and administrative functions to the CEO. The Executive Secretary will serve as the primary support, ensuring smooth coordination of all executive tasks, business schedule, and travel arrangements. The role requires agility, as the CEO's schedule can change at any time, as well as adaptability, flexibility and confidentiality.

Roles and responsibilities:

  • Provide high-level administrative support by handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.
  • Handle the filing of reimbursements and liquidations of expenses incurred by the CEO on meetings, travel and events.
  • Ensure proper filing, monitoring and maintenance of Executive documents and records.
  • Draft and route correspondents and letters as maybe required and/or directed by the office.
  • Assist in vendor research and procurement of goods and services.
  • Responsible for managing communications, coordinating transportation and accommodation, accompanying the CEO on business trips and external functions.
  • Perform other ad hoc tasks and functions that may be assigned from time to time.

Qualifications:

  • Any bachelor's degree is welcome.
  • Proficient in Microsoft Office, Google Workspace, Slack, Notion, expense apps and business management apps.
  • Strong written and verbal communication skills.
  • Sharp, quick-thinking, and can think several steps ahead.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with integrity.
  • Presentable and dependable.
