Job Summary

We are looking for a responsible and well-organized Executive Secretary to provide high-level administrative and secretarial support to the management team. The candidate should be able to handle confidential matters professionally, coordinate daily operations efficiently, and ensure smooth communication within the company.

Responsibilities

  • Provide comprehensive secretarial and administrative support to Directors and Management to facilitate effective leadership operations
  • Manage and coordinate schedules, appointments, meetings, and travel arrangements to optimize time and resources
  • Prepare accurate meeting minutes, reports, presentations, and correspondence to support decision-making and communication
  • Handle confidential documents with discretion and maintain organized filing systems to ensure information security
  • Coordinate communication and collaboration with internal departments, clients, suppliers, and external parties to support business processes
  • Assist in preparing and submitting company documents and reports to meet organizational requirements and deadlines
  • Monitor ongoing projects, tasks, and deadlines, following up to ensure timely completion and progress tracking
  • Manage office administration duties to support daily business operations and maintain workplace efficiency
  • Professionally handle incoming calls, emails, and enquiries to maintain positive stakeholder relations
  • Support ad-hoc assignments and projects as directed by Management to meet evolving business needs

Preferred competencies and qualifications

  • Experience in construction, engineering, or project-based industries to enhance industry-specific support capabilities
  • Familiarity with document control and coordination to improve administrative accuracy and compliance
  • Experience handling work passes, onboarding, or coordination matters to support HR and operational processes
