About the Role
We are looking for an organized, resourceful, proactive Executive Secretary to support the CEO. This is a unique opportunity to work closely with senior leadership, playing a key role in ensuring the smooth operation of the CEO's office while supporting strategic business priorities.
Beyond managing day-to-day executive administration, you will act as a trusted partner to the CEO, helping to coordinate key initiatives, prepare executive briefings, manage stakeholder communications, and serve as a sounding board for ideas and business priorities.

Key Responsibilities
- Manage the CEO's calendar, appointments, meetings, and travel arrangements.
- Coordinate and prioritize scheduling requests to ensure effective time management.
- Prepare correspondence, reports, presentations, and business documents on behalf of the CEO.
- Handle confidential information with the utmost discretion and professionalism.
- Screen and manage incoming communications, ensuring timely follow-up and action.
- Support the CEO in organizing priorities, evaluating ideas, and coordinating strategic initiatives.
- Conduct research and consolidate information to support business discussions and decision-making.
- Prepare executive summaries, briefing materials, reports, and presentations for meetings and business reviews.
- Track key action items and follow up with stakeholders to ensure timely execution of business priorities.
- Anticipate issues and proactively provide solutions to support the CEO's effectiveness.
- Coordinate internal and external meetings, including agenda preparation, logistics, and meeting materials.
- Attend meetings when required, document key discussion points, and monitor follow-up actions.
- Serve as a liaison between the CEO and internal departments, business partners, clients, and external stakeholders.
- Build strong working relationships with stakeholders across all levels of the organization.
- Arrange local and international business travel, including flights, accommodation, transportation, and itineraries.
- Coordinate participation in conferences, client meetings, corporate events, and business engagements.
- Ensure all logistics are managed seamlessly to support business objectives.
Key Requirements
- Min. Degree in Business Administration, Management, Communications, or a related discipline.
- Min. 8 years of experience in an Executive Secretary, Executive Assistant, Personal Assistant, Office Manager, or similar executive support role.
- Proven experience supporting C-suite executives, Managing Directors, Founders, or senior leadership teams.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent verbal and written communication skills.
- Strong stakeholder management and interpersonal skills.
- High level of integrity, professionalism, and discretion when handling confidential matters.
- Proficient in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Resourceful, proactive, and capable of working independently in a dynamic environment.
