Executive Recruiting Coordinator
The Executive Recruiting Coordinator serves as the strategic liaison and primary point of contact for executive recruiters, Human Resources Business Partners, and hiring managers throughout the executive offer and onboarding process. This role provides specialized support for C-suite and senior leadership recruitment initiatives, ensuring seamless coordination and white-glove service delivery for high-stakes executive placements.
Operating as a trusted advisor to leadership teams, the Executive Recruiting Coordinator manages complex, confidential recruitment processes while maintaining the highest standards of professionalism and discretion required for executive-level talent acquisition. This role requires availability during working hours across both US and EMEA time zones to support global hiring needs.
What this job involves:
- Support, drive, and communicate policy and procedures regarding the hiring process
- Create job requisitions based on received information with meticulous attention to detail
- Assist in design and execution of programs and processes enhancing the applicant-to-hire experience for executive-level candidates
- Manage complex offer letter creation processes, including appropriate approvals for customized executive compensation packages and add/removals from standardized letters
- Initiate background and drug screening appropriate by client, fully understanding requirements based on client accounts and adjudicating based on company guidelines and pre-determined approval levels
- Provide maintenance entry adjustments as needed on all employee activities including salary, location, and supervisor changes
- Utilize the Workday environment for pre-hire and manage hire processes, maintain all employee data and file information, and appropriately follow up on needed employee information including I-9s
- Coordinate and schedule interviews across multiple time zones, demonstrating flexibility and responsiveness
- Answer employee onboarding questions including payroll and benefit-related inquiries with quick response times
- Coach business partners on appropriate processes and guidelines in connection with the hiring process
- Support transition of new hire entry into PeopleSoft if needed
- Ensure all proper new hire setup is achieved and first-day pay is correct
- Participate in additional projects as needed

- Bachelor's degree in Human Resources or related field
- Minimum 5 -7 years in a corporate or business unit HR generalist or service center role, preferred
- Experience supporting executive-level hiring processes and providing white glove service to senior leadership outside of the local market
- Experience in front-line customer service role
- Experience with Workday preferred
- Experience with PeopleSoft, Excel, and Word
- Knowledge of working with HR processes and procedures
- Excellent verbal and written English communication and active listening skills with ability to professionally interact with C-suite executives
- Demonstrated ability to create complex, customized offer letters for executive positions
- Strong attention to detail with ability to manage high-stakes, confidential hiring processes
- Quick response time and ability to prioritize urgent requests from leadership
- Ability to work independently and in a team environment
- Flexibility to work during US and EMEA business hours to support global operations

- Highly organized with experience working in high-volume environments while maintaining quality standards
- Exceptional organizational skills with ability to manage multiple executive-level searches simultaneously across different time zones
